Chronicle

Review detailed chronological records of all tracked computer activity.

Welcome to the Intelogos Chronicle page! This guide will help you understand and effectively use the Chronicle page to review detailed, chronological records of all tracked computer activity for a specific user.

Who Can Access the Chronicle Page?

The Chronicle page is available to:

  • Owners – Organization-wide access
  • Admins – With Chronicle permissions enabled
  • Managers – With Chronicle permissions enabled

Regular users cannot see or access the Chronicle page. The toggle button will not appear for users without Chronicle access rights.

Overview

The Chronicle page provides an in-depth, chronological record of all computer activity captured by the tracking agent for a specific user. It allows authorized users to:

  • Review every tool and window accessed during tracked sessions
  • Analyze time spent on each application or website
  • Inspect keyboard and mouse activity levels per session
  • Evaluate active vs. total time for each entry
  • Filter, search, group, and sort activity data flexibly
  • Edit importance categories and tool categories directly from the table
  • Export data to CSV

Chronicle is designed to give full visibility into tool usage, window activity, and productivity-related metrics at the most granular level.


Page Layout

The Chronicle page is organized into the following areas, from top to bottom:

  1. Header bar – Contains the sidebar toggle, breadcrumb showing the user's name, the page title "Chronicle", the mode toggle button (to switch back to Profile), and the Date Range Picker on the far right.
  2. Card header – Contains the section title "Chronicle" (with a list icon) on the left, and the column visibility / download actions (Show columns button + Download button) on the right.
  3. Filter bar – Contains the Group By dropdown, filter buttons (Tool, Category, Importance, Window), and the Search field on the right.
  4. Table header – Column headings with sort controls and resize handles.
  5. Table body – One row per activity entry (or grouped rows when a Group By option is active), each showing the relevant data for that session.

Location on page: The breadcrumb and page title appear at the top-left of the header bar. The mode toggle button and Date Range Picker appear at the top-right of the header bar. The Chronicle card with filters and table occupies the main content area below.


How to Access Chronicle

Chronicle is a mode within the User Profile page. It is not a standalone page in the sidebar navigation.

Location on page: The toggle button is located in the top-right area of the header bar, to the left of the Date Range Picker.

How to access:

  1. Navigate to any User Profile page (your own profile at /profile, or another user's profile at /employee/{userId}).
  2. Click the Chronicle toggle button (displayed as a list icon) in the header bar.

Important notes:

  • The toggle button is only visible if your role includes Chronicle access rights and the "Detailed Activity" permission is enabled.
  • When switching to Chronicle mode, the date range automatically adjusts to the last available day of data.
  • The page always starts in Profile mode when first loaded — it never defaults to Chronicle.

Getting Started

When Chronicle mode activates, you see a single card titled "Chronicle" containing the filter bar and a data table. The table displays chronological activity records for the selected user within the selected date range.

Location on page:

  • Card title (left side of card header): Displays "Chronicle" with a blue list icon.
  • Actions (right side of card header): Show Columns button (grid icon) and Download button (download icon).
  • Filter bar (below card header): Contains Group By, filter buttons, and the search field.
  • Table (below filter bar): The activity data table with all configured columns.

Default visible columns: Date, Start time, End time, Tool logo, Tool, Category, Window, Total, Active, Keyboard, Mouse clicks, Mouse movement.

Default hidden columns: Local Date, Local Start Time, Local End Time, URL, Importance.

Recommendation: Start with the default column layout. Enable additional columns like Importance or URL only when you need to investigate specific activity patterns.


Best Practices

  • Use Group By Tool to get a high-level summary of which applications a user spent the most time on, then expand individual groups for details.
  • Use the Importance filter to quickly isolate time spent on Primary vs. Distracting tools.
  • Combine Category and Importance filters for precise analysis (e.g., all Primary tools in the Development category).
  • Use the Search bar to quickly find specific tool names or window titles without scrolling through the entire table.
  • Enable the URL column when you need to investigate which specific web pages were visited.
  • Export to CSV for offline analysis or reporting.

Tip: Review Chronicle data at the end of each day or week to understand how time was distributed across tools and identify opportunities to improve focus.


Date Range

Chronicle uses the global Date Range Picker shared across the application.

Location on page: Top-right corner of the header bar. Displayed as a button showing the selected date range (e.g., "17 Mar, 2026 – 19 Mar, 2026") with a calendar icon.

How to use:

  1. Click the date range button in the top-right corner of the header.
  2. Choose from preset options or select a custom date range from the calendar:
    • Today – Current day
    • Yesterday – Previous day
    • Last 7 days – Past week
    • Last 30 days – Past month
    • Custom range – Select any start and end date
  3. Click Apply to load data for the selected range.

Important notes:

  • When you first switch to Chronicle mode, the date range automatically adjusts to the last available day of data.
  • Changing the date range triggers a fresh data load from the server.
  • The date range selection is shared with the Profile page — switching back to Profile will keep the same date range.

Filters

Use the filter controls above the table to narrow down the Chronicle dataset. Filters are applied server-side for accuracy.

Location on page: Directly below the card header, in a horizontal row. Filter buttons appear on the left, and the search field appears on the right side of the filter bar.

How to use filters:

  1. Click a filter button (e.g., "+ Tool").
  2. A popover opens with a list of checkboxes.
  3. Select one or more options.
  4. The filter is applied automatically when selections change.
  5. Click the filter button again to modify or clear selections.

Important notes:

  • All filters are applied server-side for accuracy with large datasets.
  • Multiple filters can be active simultaneously and they combine (e.g., filtering by both a category and an importance level shows only entries matching both criteria).
  • When a filter is active, the button style changes from a dashed border to a solid border, and the selected values are shown next to the filter name.
  • Changing the Group By option clears any active column filters to prevent conflicts.
  • Filter options for Tool and Window are dynamically populated based on the data available for the selected user and date range.
  • Category options are loaded from the organization's configured categories.

Group By

The Group By feature allows you to aggregate Chronicle data by a selected column for summary analysis.

Location on page: The first button in the filter bar, displayed as "+ Group by" with a chevron icon.

Available grouping options:

How to use:

  1. Click the "+ Group by" button.
  2. A popover opens with the available grouping options.
  3. Click an option to apply the grouping.
  4. The currently selected option shows a checkmark icon.
  5. Click "None" to remove grouping and return to the chronological flat view.

Important notes:

  • Grouping options are only available for columns that are currently visible. If you hide the Tool column, the "Tool" grouping option will also be hidden.
  • If you hide a column that is currently used for grouping, the grouping automatically resets to "None".
  • When a group is active, the filter button shows the selected group name in indigo color.
  • See Grouped View for details on how grouped data is displayed.

Search

Use the search field to find specific tools or windows across all Chronicle entries.

Location on page: Right side of the filter bar, displayed as a text input with a search icon and placeholder text "Search tools & windows...".

How it works:

  1. Type a keyword into the search field.
  2. The table updates after a brief delay (approximately 300 milliseconds).
  3. The search scans both the Tool column and the Window column.
  4. Results are filtered server-side for accuracy.

Important notes:

  • The search field is only visible when either the Tool or Window column is visible.
  • When a Group By option is active, the search works both locally (filtering visible group headers immediately) and via the server (fetching matching grouped results).
  • The search is case-insensitive.
  • Clear the search field to show all entries again.

Sorting

Click any sortable column header to sort the table. An arrow indicator shows the current sort column and direction.

Location on page: Column headers in the table header row. Sortable columns show a small arrow icon next to the column name.

Sortable columns: Date, Start time, End time, Local Date, Local Start Time, Local End Time, Tool, Category, URL, Importance, Window, Total, Active, Keyboard, Mouse clicks, Mouse movement.

Non-sortable columns: Tool logo.

  • Click once for ascending order; click again for descending order.
  • Sorting is handled on the server for accuracy with large datasets.
  • The column header tooltip shows the column description when hovered.

Below is the complete list of all columns that can be shown or hidden:

Column Visibility and Layout

You can show or hide columns and reorder them using the Show Columns button.

Location on page: Right side of the card header, displayed as a button with a grid/columns icon. It appears to the left of the Download button.

How to use:

  1. Click the Show Columns button (grid icon) in the card header.
  2. A popover opens with a list of all available columns as checkboxes.
  3. Check or uncheck columns to show or hide them.
  4. Drag and drop column names in the popover to reorder them in the table.
  5. Close the popover to apply changes.

Default visible columns: Date, Start time, End time, Tool logo, Tool, Category, Window, Total, Active, Keyboard, Mouse clicks, Mouse movement.

Default hidden columns: Local Date, Local Start Time, Local End Time, URL, Importance.

Important notes:

  • Column visibility preferences are saved locally in your browser and persist across page reloads.
  • Column order can be rearranged by dragging items in the popover — a drag handle (grip icon) appears next to each column name.
  • Hiding columns does not affect filter or grouping options.
  • The Tool logo column is always 56 pixels wide and cannot be resized.

Column Resizing

You can resize most table columns by dragging the column border.

Location on page: The right edge of each column header in the table. A thin resize handle appears when you hover near the column border.

How to use:

  1. Hover your cursor over the right edge of a column header until the resize handle appears.
  2. Click and drag left or right to adjust the column width.
  3. Release to set the new width.
  4. Double-click the resize handle to reset the column to its original default width.

Important notes:

  • Column widths are saved locally in your browser and persist across page reloads.
  • The Tool logo column cannot be resized (fixed at 56 pixels).
  • All other columns have a minimum width of 100 pixels.

Grouped View

When a Group By option is active, the table displays aggregated groups instead of individual rows.

Location on page: The main table body. Group header rows appear with a gray background, and expanded detail rows appear indented with a blue left border.

Group Header Rows

Each group header row displays:

  • Expand/collapse icon – A right-pointing chevron (collapsed) or down-pointing chevron (expanded) on the left.
  • Group name – The tool name, window title, or other grouping value, displayed in bold.
  • Aggregate totals – For numeric columns (Total, Active, Keyboard, Mouse clicks, Mouse movement), the group header shows the sum of all entries in that group.

How to expand a group:

  1. Click anywhere on a group header row.
  2. The group expands to reveal individual activity entries below it.
  3. Detail rows are indented and marked with a blue left border.
  4. Click the group header again to collapse it.

Totals in Group Headers

When a group is expanded or collapsed, the header row shows aggregate values for numeric columns:

Hovering over a total value shows a tooltip: "Total for the group."

Loading Detailed Data

When you expand a group, detailed data is fetched from the server. A loading spinner with "Loading detailed data..." text appears while data is being retrieved.

If no detailed data is available for a group, the message "No detailed data available for this group" is shown.

Load More Within Groups

When a group contains more entries than the initial display limit (50 entries per page), a "Load more" link appears at the bottom of the expanded group.

Location on page: Below the last detail row in an expanded group, centered in the table.

  • Click "Load more" to fetch the next batch of entries.
  • A loading spinner appears while additional data is being loaded.
  • The system loads data from the server when more is available remotely, or pages through local data when all entries have been fetched.

Infinite Loading

The main table (in non-grouped mode) loads data in batches as you scroll, keeping the page responsive.

Location on page: At the bottom of the table body. A loading spinner appears when more data is being fetched.

  • As you scroll near the bottom of the table, the next batch loads automatically.
  • A spinner appears at the bottom while additional rows are loading.
  • Scrolling continues to trigger new batches until all matching data is displayed.
  • Infinite scroll is temporarily paused during an active search to prevent duplicate requests.

Editing Importance

You can change the importance category of any tool directly from the Chronicle table.

Inline Edit (Pencil Button)

Location on page: The Importance column in each table row. The pencil button appears when you hover over an importance cell.

How to use:

  1. Make sure the Importance column is visible (enable it via Show Columns if needed).
  2. Hover over any cell in the Importance column.
  3. The colored badge is replaced by a pencil button.
  4. Click the pencil button to open the Change Importance Category drawer.

Importance Drawer

Location on page: A slide-in drawer that appears from the right side of the screen.

The drawer contains the following fields:

Important notes:

  • Changing the importance category applies to the entire organization for that tool and the selected user's department.
  • If the save fails, an error message is shown in a red banner within the drawer.
  • After a successful save, the table data is updated to reflect the new importance level.

Editing Category

Some tools have editable categories that can be changed directly in the table.

Location on page: The Category column in each table row. Editable categories show a small chevron icon next to the category name.

How to use:

  1. Look for a category cell with a dropdown chevron (▼) next to the text.
  2. Click on the category text or chevron to open the dropdown.
  3. A dropdown menu appears with available category options.
  4. Select a new category.
  5. The change is saved to the server automatically.

Important notes:

  • Not all categories are editable — only tools marked as editable by the system show the dropdown chevron.
  • The available category options are loaded from the organization's configured categories.
  • While the update is saving, the dropdown trigger is temporarily disabled.
  • If the save fails, the category reverts to its previous value.

Export and Download

You can export the Chronicle data to a file for offline analysis.

Location on page: Right side of the card header, displayed as a download icon button. It appears to the right of the Show Columns button.

Available export format:

How to use:

  1. Click the Download button (download icon) in the card header.
  2. The CSV file downloads automatically with the filename chronicle-data.

Important notes:

  • The export includes all currently visible columns.
  • Data respects the current filters, search, and date range — only the displayed data is exported.

Timezone Handling

Chronicle handles timezone conversion to ensure times are displayed accurately.

How it works:

  • The tracking agent records activity in the API timezone (typically UTC or the organization's configured timezone).
  • The table columns Date, Start time, and End time display times in the original API timezone.
  • The columns Local Date, Local Start Time, and Local End Time (hidden by default) display times converted to the viewed user's timezone.
  • If the user's timezone is not available, times are converted to your local browser timezone.

Tip: If you notice time discrepancies, enable the Local Date/Time columns to compare API times with the user's local times. The timezone used for display is determined by the timezone configured in Settings.


Troubleshooting

I don't see the Chronicle toggle button

Cause: Your role does not have Chronicle access rights, or the "Detailed Activity" permission is not enabled for your account.

Solution: Contact an Admin or Owner to grant Chronicle permissions. The toggle button only appears for Owners, Admins with Chronicle permissions, and Managers with Chronicle permissions.

No chronicle data available

Location on page: A centered message with a chart icon appears in the table area when no data exists.

Cause: No tracked activity exists for the selected user and date range, or filters are too restrictive.

Solution: Choose a different date range, clear all active filters, or verify that the tracking agent was running during the selected period.

Search returns no results

Cause: The search term does not match any tool names or window titles in the current dataset.

Solution: Try a broader search term, check for typos, or clear the search field to show all entries. Remember that search scans both the Tool and Window columns.

Grouped view shows "No detailed data available for this group"

Cause: The server returned no detailed records for the selected group.

Solution: This can happen when activity was recorded at a summary level but individual session data is not available. Try expanding a different group or switching to the non-grouped view.

Columns are missing

Cause: Columns may be hidden via the Show Columns menu.

Solution: Click the Show Columns button (grid icon in the card header) and enable the columns you want to see. Remember that some columns (Local Date, Local Start Time, Local End Time, URL, Importance) are hidden by default.

Times look incorrect

Cause: The Date/Start time/End time columns show times in the API timezone, which may differ from the user's local timezone.

Solution: Enable the Local Date, Local Start Time, and Local End Time columns to see times converted to the user's timezone. Check the timezone setting in Settings if conversion appears wrong.

Importance changes are not reflected

Cause: The importance change applies at the organization level for the selected user's department. Other users in different departments are not affected.

Solution: Refresh the page or re-select the date range to see the latest data. Note that importance changes apply to the tool across all entries for the same department.
