Generate AI-powered performance reports from any page context.

Welcome to the Intelogos Generate Insights feature! This guide will help you understand and effectively use the AI-powered insights generation to get detailed performance reports for your organization, teams, and individual users.

Who Can Access Generate Insights?

Generate Insights is available to:

  • Owners – Organization-wide access
  • Admins – Organization-wide access
  • Managers – Access limited to users and data they can view

Regular users do not have access and will not see the Generate Insights button.

Overview

Generate Insights is an AI-powered feature that analyzes performance data from the current page and produces a detailed written report. The report is streamed in real time and displayed in a full-screen dialog with formatted sections, metrics, recommendations, and risk assessments.

The feature works contextually — it uses the date range, filters, sorting, and grouping you have currently applied on the page to generate a report that is relevant to exactly what you are looking at. This means the same button on different pages produces different types of reports tailored to that page's data.


Where to Find It

Location on page: The Generate Insights button appears in the global header bar at the top of the page, alongside the date range picker and filter controls.

Button appearance: A magic wand icon (sparkles wand). Hovering over it shows the tooltip "Generate insights."

How to Generate an Insights Report

  1. Navigate to a supported page (Dashboard, Profile, Employee, Team, Daily, Reports, or Chronicle).
  2. Set your desired context:
    • Choose a date range using the date range picker in the header.
    • Apply any filters (departments, projects, managers) if needed.
    • On the Team page, set your preferred grouping and sorting.
    • On the Daily page, select the specific date and category.
    • On the Reports page, configure your report items, grouping, and sorting.
  3. Click the magic wand icon in the header bar.
  4. The Insights Dialog opens immediately and begins streaming the report.
  5. Wait for the report to finish generating (you can read it as it streams in).
  6. Optionally copy the report or close the dialog when done.

Insights Dialog

Location on page: Opens as a near-fullscreen dialog overlay (95% of viewport width and height) in the center of the screen.

Dialog Layout

The dialog is organized into two main areas:

  1. Header bar (top) — Contains the report title on the left. On the right: a Settings gear icon (opens the Customize Insights Prompt dialog), a Copy button (clipboard icon), and a Close (X) button.
  2. Report content (middle, scrollable) — The main area where the AI-generated report is displayed as formatted markdown.

The title changes dynamically based on which page you generated the report from:

Loading State

While the report is being generated, a loading spinner is displayed with the message "Generating insights report..." Once the first chunks of text arrive, the report appears with a smooth typing animation effect.

Error State

If the report fails to generate, a red error banner is displayed with the error message. Common causes include network issues or authentication expiration.

Customize Insights Prompt

How to access: Click the Settings gear icon in the Insights Dialog header (between the title and the Copy button).

This opens the Customize Insights Prompt dialog, which lets you control how the AI generates insights by providing custom instructions.

Dialog layout:

  • Header — Title "Customize Insights Prompt" with Cancel and Save buttons.
  • Info banner — Explains that prompt customization lets you focus on the metrics, patterns, and timeframes that matter most to your team.
  • Custom Prompt field — A text area where you enter your custom instructions. Placeholder example: "Focus on productivity trends and highlight any unusual patterns in meeting time..."
  • Helper text — "Your prompt will guide the AI to generate insights tailored to your priorities."
  • Reset button — Appears at the bottom of the dialog. Clears the custom prompt and restores the default AI behavior.

How to use it:

  1. Open the Insights Dialog by clicking the magic wand icon.
  2. Click the Settings gear icon in the dialog header.
  3. Type your custom instructions in the text area (e.g., "Focus on engagement trends and flag any users with declining productivity").
  4. Click Save to apply your custom prompt.
  5. The next time you generate insights, the AI will use your custom instructions to tailor the report.
  6. To revert to the default behavior, open the dialog again and click Reset.

Tips:

  • Be specific about which metrics or patterns you want the AI to focus on.
  • Custom prompts persist across sessions — you only need to set them once.
  • You can update or reset your prompt at any time.

Report Types

Dashboard Performance Insights

Generated from: Dashboard page (/dashboard)

What it analyzes: Organization-wide performance data for the selected date range.

Parameters used:

  • Date range (from the header date range picker)
  • Department filter (if applied)
  • Project filter (if applied)
  • Manager filter (if applied, Admins/Owners only)

Best used when: You want a high-level overview of how your entire organization or a filtered subset is performing across all key metrics.


Individual Performance Insights

Generated from: Profile page (/profile) or Employee page (/employee/{userId})

What it analyzes: A single user's performance data for the selected date range.

Parameters used:

  • Date range (from the header date range picker)
  • The specific user ID (your own for Profile, or the viewed employee's ID for Employee pages)
  • Department, project, and manager filters (if applied)

Best used when: You want a deep dive into one person's work patterns, productivity, engagement, and tool usage. Useful for 1-on-1 meetings, performance reviews, or self-assessment.


Team Performance Insights

Generated from: Team page (/team)

What it analyzes: Team-level performance data with the current grouping and sorting applied.

Parameters used:

  • Date range (from the header date range picker)
  • Group by setting (Department, Job Title, Projects, or Manager)
  • Sort column (Overall Rating, Total Time, Avg Workday, Avg Availability, Avg Activity, Avg Engagement, Avg Productivity, or Total Contribution)
  • Sort direction (ascending or descending)
  • Team-specific filters (departments, projects, managers)

Best used when: You want to compare team or group performance, identify which departments or groups are excelling or struggling, and understand trends across your organization's structure.


Daily Performance Insights

Generated from: Daily page (/daily)

What it analyzes: Performance data for a single specific day.

Parameters used:

  • Date range (from the header date range picker)
  • Specific date (from the Daily date picker)
  • Category filter (if a specific category is selected)
  • Department, project, and manager filters (if applied)
  • Filtered user IDs (if client-side filters like job title are active)

Best used when: You want to understand what happened on a particular day — who was active, how time was spent, and whether there were any anomalies.


Advanced Report Performance Insights

Generated from: Reports page (/reports)

What it analyzes: Custom report data based on the advanced report configuration.

Parameters used:

  • Date range (from the Reports page settings)
  • Report items (the specific metrics/columns selected in the report)
  • Group by setting
  • Sort column and direction
  • User, department, project, and manager filters

Best used when: You have built a custom report in the Reports page and want an AI-written summary of what the data shows, including trends, outliers, and recommendations.


Chronicle Performance Insights

Generated from: Chronicle page (/chronicle)

What it analyzes: Detailed activity and timeline data from the Chronicle view for the selected date range.

Parameters used:

  • Date range (from the header date range picker)
  • Department, project, and manager filters (if applied)

Best used when: You want an AI-generated analysis of detailed activity timelines and work patterns captured in the Chronicle view.


What the Report Contains

Generated reports are formatted as structured markdown documents with the following typical sections:

1. Executive Summary

A high-level overview of the key findings. Provides a quick snapshot of the overall performance picture so you can understand the main takeaways without reading the full report.

2. Key Performance Indicators (KPIs)

Detailed analysis of core metrics, each with:

  • Current value — The actual metric for the period
  • Benchmark — The expected or target range
  • Trend — Whether the metric is improving or declining

Common KPIs include:

  • Workday Hours — Average hours worked per day
  • Availability % — Percentage of scheduled time the user was available
  • Activity % — Percentage of time with active keyboard/mouse input
  • Engagement % — Level of meaningful work engagement
  • Productivity % — Ratio of productive vs. non-productive time

3. Team Leadership / Top Performers

Identifies the highest-performing users or groups based on overall ratings. Useful for recognizing strong contributors.

4. Tool Usage Analysis

Breakdown of applications and websites used during the period, categorized as:

  • Primary tools — Core work applications (e.g., IDEs, project management)
  • Secondary tools — Supporting applications (e.g., email, messaging)
  • Neutral tools — Uncategorized applications
  • Distracting tools — Non-work applications

Each tool shows time spent, hours, and activity percentage.

5. Work Distribution by Category

How time was distributed across work categories (e.g., Development, Communication, Design, Research). Includes hours, percentage of total time, and activity levels per category.

6. Behavioral Patterns and Outliers

Identifies unusual patterns such as:

  • Significantly long or short workdays
  • Unusual activity patterns
  • After-hours work
  • Sudden changes in engagement or productivity

7. Recommendations

Prioritized action items grouped by urgency:

  • Immediate Actions (within 1 week) — Urgent items to address now
  • Short-term Actions (within 1 month) — Important improvements to plan
  • Long-term Actions (within 1–3 months) — Strategic initiatives

8. Risk Assessment

Identifies potential risks with severity levels:

  • Burnout Risk — Based on excessive hours, low engagement, or declining trends
  • Engagement Risk — Based on low or declining engagement metrics
  • Retention Risk — Based on behavioral patterns that may indicate dissatisfaction

Each risk includes a severity level (LOW, MEDIUM, HIGH) and a description.


How Context Affects the Report

The AI generates different reports based on your current page context. Here is how each element affects the output:

Filters (department/project/manager)Narrows the data to only the filtered subset. The report focuses only on matching users.
Page typeDetermines the report structure: individual analysis for Profile/Employee, group analysis for Team/Dashboard, daily snapshot for Daily.
Team groupingOn the Team page, the AI organizes findings by your selected group (department, job title, etc.).
Team sortingOn the Team page, the AI prioritizes analysis based on your sort column and direction.
Daily dateOn the Daily page, focuses the report on one specific day rather than a range.
Daily categoryOn the Daily page, if a category is selected, the report focuses on that work category.
Report itemsOn the Reports page, the selected report items determine which metrics the AI analyzes.

Tip: To get the most relevant report, set up your filters, date range, and sorting before clicking Generate Insights. The AI will analyze exactly what you see on screen.


Copying and Sharing Reports

Copy to Clipboard

Location in dialog: The Copy button (clipboard icon) appears in the top-right corner of the Insights Dialog header, next to the Close (X) button. It only appears after the report has started generating.

  1. Wait for the report to finish generating (or at least partially generate).
  2. Click the Copy button (clipboard icon) in the dialog header.
  3. The icon changes to a checkmark for 2.5 seconds to confirm the copy was successful.
  4. Paste the report anywhere — email, document, chat, etc.

The copied text is in markdown format, so it will render nicely in tools that support markdown (Slack, Notion, Confluence, etc.) or can be pasted as plain text.

Sharing Options

While there is no built-in share button, you can:

  • Copy and paste the report into emails, documents, or messaging tools
  • Copy and paste into presentation slides for team meetings
  • Save locally by copying into a text file or note-taking application

Best Practices

  1. Set the right date range first. A 1-week range gives tactical insights; a 1-month range reveals trends; a single day gives a snapshot. Choose based on your goal.

  2. Apply filters before generating. If you only care about the Engineering department, filter to that department first. The report will be more focused and relevant.

  3. Use Team page insights for group comparisons. Set your preferred grouping (by department, manager, etc.) and sorting before generating to get a well-structured comparative analysis.

  4. Use Profile/Employee insights for 1-on-1s. Generate an individual report before a performance review or check-in to have data-backed talking points ready.

  5. Use Daily insights to investigate specific days. If something unusual happened on a particular day, generate a Daily report for that date to understand what occurred.

  6. Read the Recommendations section carefully. The AI prioritizes actions by urgency — focus on Immediate Actions first.

  7. Pay attention to Risk Assessments. HIGH-level risks should be addressed promptly. Even MEDIUM risks are worth monitoring.

  8. Copy reports for your records. Use the Copy button to save important reports for future reference or to share with stakeholders.

  9. Generate reports regularly. Weekly or bi-weekly reports help you track trends over time and catch issues early.

  10. Compare reports across periods. Generate reports for different date ranges and compare them to understand how performance is changing.


Troubleshooting

IssueSolution
Generate Insights button not visibleThe button is only available to Owners, Admins, and Managers. Regular users cannot see it. Also check that you are on a supported page (not User Management, Background Agents, or Settings).
"Authentication required" errorYour session has expired. Refresh the page and log in again, then retry.
Report fails to generateCheck your internet connection. The feature requires a network connection to the Insights API. If the issue persists, try again after a few minutes.
Report seems incompleteThe report streams in chunks. Wait for the loading indicator to disappear before assuming the report is complete.
Report doesn't reflect my filtersMake sure you applied your filters before clicking Generate Insights. The AI uses the filters that were active at the moment you clicked the button.
Report shows "No report data available"There may not be enough data for the selected date range or filters. Try expanding the date range or removing some filters.
Copy button not appearingThe Copy button only appears after the report has started generating. Wait for the first text to appear.
Report content looks different from what I expectedThe AI generates reports based on actual data. If the content doesn't match your expectations, verify your date range and filters are correct. Different pages generate different report types.
Dialog won't closeClick the X button in the top-right corner of the header, or click outside the dialog.
