Profile

Analyze individual work patterns, KPIs, tool usage, and detailed activity.

Welcome to the Intelogos Profile! This guide will help you understand and effectively use the Profile page to analyze an individual's work patterns, metrics, tools, and detailed activity.

Who Can Access Profiles?

The Profile page is available to:

  • Managers – Can view profiles they've been explicitly granted access to
  • Admins – Can view profiles of all users
  • Owners (Primary Admins) – Can view profiles of all users
  • The user – Every user with an account can view their own profile

Note: Users tracked via background agent may not have accounts by default and therefore may not be able to view their own profile. Regular users are blocked from accessing other users' profiles regardless of stats access level.

The company's Stats Access Level controls what regular users can see on their own profile:

Overview

The Profile page focuses on a single user and helps you:

  • Review individual KPIs and trends across the selected period
  • Inspect detailed computer activity using Chronicle
  • Understand tool usage and categories by importance
  • See engagement levels across tools
  • Analyze time distribution by work type
  • View weekly work patterns with daily block-level detail

There are no organization-level filters (Departments/Projects/Managers) on Profile, since the page already focuses on one user.


Page Layout

The Profile page has two modes: Profile mode (default) and Chronicle mode. In Profile mode, the page is organized top to bottom as follows:

In Chronicle mode, sections 2–6 are replaced with the Chronicle data table.


Top Row Overview Cards

Location on page: Top of the page, displayed as a responsive grid (3 columns on large screens, 2 on medium, 1 on small). Hidden when in Chronicle mode.

Below the browser tab title (which dynamically shows the user's name), three key summary cards provide a quick status update.

1. User Info Card (Left)

Location on page: First card in the top row grid (left position).

Displays key identity and activity status information:

  • User Avatar (or initials with colored background if no avatar is uploaded), Name, Job Title, and Department.
  • Status Badge:
    • Active (green): Desktop agent reported activity within the last 15 minutes.
    • Away (gray): No agent data received in the past 15 minutes.
    • The badge tooltip shows when the user was last active (e.g., "Active 5 minutes ago").
  • Navigation Arrows (Up/Down): Located to the left of the avatar. Used to navigate between different users in the list (e.g., move to the next or previous employee). These arrows are only visible to Admins, Primary Admins, and Managers — regular users viewing their own profile do not see them.

2. This Week Card (Center)

This card always displays the current week's data, regardless of the globally selected date range.

Shows the current week's activity with an interactive day selector:

  • Title: "This week" with a calendar icon. Hovering shows a tooltip explaining the card.
  • Top Section (Selected Day Timeline): Displays a detailed activity timeline for the currently selected day.
    • Shows the date and total tracked time (with idle time in parentheses if applicable).
    • The timeline displays 1-hour blocks color-coded as:
      • Green: Active work time.
      • Dark Gray: Idle time.
      • Light Gray: No activity / offline.
    • Hour labels appear below the timeline (12h, 2h, 4h, ... 22h).
  • Bottom Section (Day Selector Grid): A 7-day row showing each day of the week.
    • Each day button shows the abbreviated day name (Mon, Tue, etc.) and the total time worked.
    • Click any day to update the timeline above.
    • A colored underline below each day indicates work status:
      • Green line: Met or exceeded the expected work hours (per work policy).
      • Yellow line: Worked partially (less than expected).
      • Red line: Did not work at all on a working day.
      • Blue line: Time off.
      • No line: Non-working day (weekend/off day) or future date.
    • The currently selected day has a highlighted background.

3. Highlights Card (Right)

Location on page: Third card in the top row grid (right position). Only visible to users with highlights permission (hidden for regular users under TIME_INFO_ACCESS).

Provides comparative performance insights with colored vertical indicator bars:

  • Prior period: Comparison to the previous equivalent period (e.g., prior week/month). Color indicates improvement (green), decline (red), or neutral (yellow).
  • Department: Comparison to the department average with color indicator.
  • Company: Comparison to the company-wide average with color indicator.
  • Top tools: Lists the top tools used during the period, each showing name and duration. Each tool has a color underline indicating its category:
    • Green underline: Primary tool.
    • Yellow underline: Secondary tool.
    • Red underline: Distracting tool.
    • Gray underline: Neutral tool.
    • Hovering over a tool's name shows a tooltip with its category (e.g., "Primary tool").

Key Performance Indicators (KPIs)

Location on page: Directly below the top row overview cards. Contains a row of KPI cards and a trend chart beneath them. Hidden in Chronicle mode.

Profile KPIs match Dashboard definitions and logic. Users can select 2–4 KPIs to display.

Understanding KPI Metrics

Each KPI follows the same definition as on the Dashboard and includes typical interpretations to guide coaching and review.

Workday

What it measures: Average time tracked on a workday (idle included if saved). Why it matters: Indicates typical work duration and stability of daily routines. Typical values: 7–9 hours for full-time employees.


Activity

What it measures: Level of mouse/keyboard interaction; percent of active seconds. Why it matters: High activity implies focused work; low activity might suggest meetings, reading, or idle time. Typical values: <20% low for computer-centric roles; 20–50% typical; >50% deep focus.


Engagement

What it measures: Share of time spent in primary and secondary tools. Why it matters: Distinguishes work-related tools from distracting/uncategorized usage. Typical values: >70% excellent; <60% may warrant review of categorization or habits.


Productivity

What it measures: Share of active minutes in primary/secondary tools vs. expected work time. Why it matters: Synthesizes time, activity, and engagement into an effectiveness indicator. Typical values: 40–60% strong; >60% exceptional.


Contribution

What it measures: Total active work minutes in primary/secondary tools (absolute time). Why it matters: Complements Productivity by showing absolute effective work time. Displayed as: Hours and minutes (e.g., "2h 36m").


Availability

What it measures: Portion of expected work time that was actually tracked. Why it matters: Highlights adherence to expected working hours. Typical values: 85–100% for active workdays.


Overall Rating

What it measures: Composite of Availability, Activity, Engagement, and Productivity. Why it matters: Quick snapshot for assessing overall performance. Notes: Formula/weights can be customized in Settings → Rating.


Raw Data KPIs

In addition to the core KPIs above, the following raw data KPIs are available for selection. These provide granular breakdowns by tool category and engagement level:

Tools Time KPIs:

  • Work tools time
  • Primary tools time
  • Secondary tools time
  • Distracting tools time
  • Neutral tools time

Tools Activity KPIs:

  • Work tools activity
  • Primary tools activity
  • Secondary tools activity
  • Distracting tools activity
  • Neutral tools activity

Engagement Time KPIs:

  • High engagement time
  • Medium engagement time
  • Low engagement time

Engagement Activity KPIs:

  • High engagement activity
  • Medium engagement activity
  • Low engagement activity

Note: Raw data KPIs are not available to regular users under the TIME_INFO_ACCESS stats access level.


KPI Card Features

Location on page: Displayed as a horizontal row of 2–4 cards within the KPI section.

Each KPI card on the page includes:

  • Icon: A colored icon representing the metric (e.g., clock for Workday, heart for Engagement).
  • Metric Name: The KPI label.
  • Metric Value: The main number (time or percentage).
  • Progress Bar: A visual representation of the metric relative to its maximum value, with a color variant matching the KPI.
  • Badge (Top Right Corner): Click this badge to cycle between three different comparative views:
    1. Department Rank — Shows this user's rank within their department.
    2. Company Rank — Shows this user's rank within the entire company.
    3. Percentage Change vs. the previous period (with up/down arrow and color indicator).

Customizing Your KPIs

Location on page: Edit button (pencil icon) appears in the KPI section header.

You can personalize which KPIs appear and their order.

Requirements: 2–4 KPIs selected.

How to customize:

  1. Click the pencil icon (Edit) in the KPI section header.
  2. Remove any card with the X button; add with + Add KPI (opens a selection dialog).
  3. Drag-and-drop to reorder; the first card drives the trend chart by default.
  4. Click the checkmark (Done) to save; preferences persist across sessions.

Notes:

  • KPI editing is disabled for regular users under TIME_INFO_ACCESS.
  • The selection dialog shows all available KPIs (core + raw data) that are not already selected.
  • Choose KPIs aligned with your coaching goals and put the most important first.

KPI Trend Chart

Location on page: Directly below the KPI cards row, within the same container.

Displays a bar chart showing the daily trend for the currently active KPI.

Features:

  • X-axis shows days (formatted as date labels, e.g., "Dec 1", "Dec 2").
  • Y-axis shows values appropriate to the KPI (hours for time-based KPIs, percentages for ratio KPIs).
  • Tooltips display exact formatted values on hover.
  • Non-working days (weekends, holidays per work policy) are visually distinguished.

Change the KPI: Click any KPI card; the chart updates immediately to show that KPI's trend.

What to look for: Consistency, trends, spikes/dips — investigate unusual days for context.


Tool Categories

Location on page: Below the KPI section. Displayed as a 3-column responsive grid (3 columns on XL screens, 2 on LG, 1 on small). Only visible to users with tool view permission. Hidden in Chronicle mode.

Tools are categorized to calculate Engagement/Productivity and to visualize where time is spent.

Container Layout

Each tool category card (Primary, Secondary, Distracting, Neutral) shows:

  • Header: Category name with a colored icon and a tooltip explaining the category. For Primary and Secondary cards, a pencil icon (edit button) appears on hover in the header — only visible to users with tool management permission.
  • Progress Bar: A full-width colored bar matching the category color.
  • Summary Stats: Below the progress bar:
    • Left: Time Spent in category and its share of total time in parentheses.
    • Right: Average Activity level within that category.
    • Both "Time", "(share)", and "Activity" labels have tooltips explaining the metric.
  • Column Headers: "Tool" on the left, "Time/Activity" on the right (with tooltips on each).
  • Tool List: A list of up to 5 tools showing:
    • Tool Logo (icon or app image)
    • Tool Name (truncated at 15 characters with full name on hover)
    • Conflict indicator (asterisk icon) if the tool has conflicting categorizations across departments, with tooltip explaining the resolution logic
    • Time Spent
    • Activity Badge (color-coded: green >40%, yellow 20–40%, red <20%)
  • Show More Button: Appears at the bottom if there are more than 5 tools, opening a search dialog.

Primary Tools

Location on page: First card in the Tool Categories grid (left position).

Definition: Core work tools where most time is expected. Examples: IDEs, design tools, spreadsheets/BI for analysts, CRMs for sales. Why it matters: Directly contributes to Engagement and Productivity; keep Primary selective. Visual indicator: Green progress bar and green vertical accent lines.


Secondary Tools

Location on page: Second card in the Tool Categories grid (center position).

Definition: Work-related but supporting tools (communication, meetings, docs, PM). Why it matters: Productive but should not dominate time vs. Primary tools. Visual indicator: Yellow progress bar and yellow vertical accent lines.


Distracting and Neutral Tools (Tabbed)

Location on page: Third card in the Tool Categories grid (right position). This is a single card with two tabs.

Unlike Primary and Secondary which have their own cards, Distracting and Neutral tools share a single card with a tabbed interface:

  • Tab selector is in the card header with two clickable tab triggers:
    • Distracting tools (left tab, with red warning triangle icon)
    • Neutral tools (right tab, with gray align-center icon)
  • A blue indicator line appears under the currently active tab.
  • Switching tabs swaps the content area to show the corresponding tools.

Distracting Tools

Definition: Non-work tools (social media, entertainment, personal apps). Why it matters: Monitor and minimize to reduce lost focus. Visual indicator: Red progress bar and red vertical accent lines.

Neutral Tools

Definition: Uncategorized tools that do not contribute to metrics. Why it matters: High Neutral time reduces metric accuracy — categorize regularly. Visual indicator: Gray progress bar and gray vertical accent lines.


Managing Tools from Profile

Location on page: Pencil icon appears on hover in the header of Primary and Secondary tool cards. Only visible to users with tool management permission.

Authorized users can manage tools directly from Profile.

Quick Edit:

  1. Hover over a Primary or Secondary tool category card header → click the pencil icon that appears.
  2. The Tool Category Management dialog opens.
    • It defaults to filter by the user's department (this filter can be removed with the X).
    • You can search for and recategorize tools.
    • Both apps and websites can be managed.
  3. Make your changes → Save changes.

Advanced: Use Settings → Tools for bulk operations, presets, and department-specific categorizations.

Tips: Review Neutral tools weekly; keep Primary to 1–3 tools per role.


Show More Dialog

Location on page: Appears as a modal overlay when clicking "Show more" on any tool category or engagement card.

When a tool category or engagement list has more than 5 tools, a "Show more" button appears at the bottom of the card. Clicking it opens a dialog with:

  • A search input at the top to filter tools by name.
  • Column headers: Tool and Time/Activity (with tooltips).
  • A scrollable list showing all tools in that category.
  • A "Go back" button at the bottom to close the dialog.

Engagement Lists

Location on page: Below the Tool Categories section. Displayed as a 3-column responsive grid (3 columns on XL, 2 on LG, 1 on small). Only visible to users with tool view permission. Hidden in Chronicle mode.

Profile shows three engagement cards, each with a consistent layout:

Each engagement card contains:

  • Header: Engagement level name with a colored icon and a tooltip explaining the engagement level.
  • Summary Card: A bordered card at the top showing:
    • Left: Total time spent and percentage share of total time.
    • Right: Average activity level.
    • A colored vertical accent bar on the left edge matching the engagement level color.
    • Labels ("Time", "(share)", "Activity") have tooltips with metric explanations.
  • Column Headers: "Tool" on the left, "Time/Activity" on the right (with tooltips).
  • Tool List: Up to 5 tools with:
    • Tool Logo
    • Category indicator (colored vertical line next to tool name):
      • Green line: Primary tool
      • Yellow line: Secondary tool
      • Red line: Distracting tool
      • No line for Neutral tools
    • Hovering the category indicator shows a tooltip with context about what the category means for engagement (e.g., for Primary tools: "In most cases, high performers have their primary tools categorized under Average or High engagement.")
    • Tool Name (truncated at 15 characters)
    • Time Spent and Activity Badge
  • Show More Button: Appears if more than 5 tools exist.

High Engagement

Location on page: First card in the Engagement grid (left position).

Definition: Sustained active interaction with tools. What it shows: Total time, average activity, and tools with high engagement. Interpretation: High engagement in Primary tools is excellent; high engagement in Distracting tools is a red flag. Visual indicator: Green accent bar, green trending-up icon.


Medium Engagement

Location on page: Second card in the Engagement grid (center position).

Definition: Typical engagement level for average work. What it shows: Totals and tools that commonly sit between deep work and passive activity. Interpretation: Normal for communication and reading/review tasks. Visual indicator: Yellow accent bar, yellow right-arrow icon.


Low Engagement

Location on page: Third card in the Engagement grid (right position).

Definition: Little interaction — may be concerning for Primary tools. What it shows: Totals and tools with low interaction. Action items: Investigate barriers, training needs, or miscategorization. Visual indicator: Red accent bar, red trending-down icon.


Time Categories

Location on page: Below the Engagement Lists section. Displayed as a single full-width card. Only visible to users with time categories permission. Hidden in Chronicle mode.

This section shows how time is distributed across activity categories (e.g., Development, Design, Project Management, Documents, Finance, Communication & Meetings, Analysis, Other).

Header:

  • Title: "Time categories" with a blue pie-chart icon and a tooltip explaining the section.
  • View Options button (right side of header): Opens a column visibility menu to toggle which columns appear in the table below.

Stacked Bar Chart:

  • Displayed below the header showing time distribution by day/week.
  • Each bar segment is color-coded by category.
  • Hover to see a tooltip with per-category values for that day.
  • On desktop: shows with Y-axis labels. On mobile: Y-axis is hidden.

Table: The table below the chart shows per-category details. Columns can be toggled via the View Options button:

  • Columns can be reordered via the View Options menu.
  • Each column header (except Name) has a tooltip explaining the metric.
  • Clicking a table row opens a dialog showing the individual tools within that time category.
  • Pagination appears at the bottom if there are more categories than fit on one page.

Tips:

  • Hover over the chart to see per-category values by day.
  • Use view options to toggle visible columns based on what you need to analyze.
  • Watch for balanced distribution vs. role-appropriate specialization.

Weekly Overview

Location on page: Bottom of the page (last section in Profile mode). Displayed as a single full-width card. Always visible (not gated by permissions). Hidden in Chronicle mode.

A weekly work-block visualization helps you understand daily structure.

Header:

  • Title: "Weekly overview" with a blue calendar icon and a tooltip explaining the visualization.
  • Navigation Controls (right side of header):
    • Left arrow (‹): Navigate to the previous week.
    • Week date range: Shows the current week's date range (e.g., "Mar 10, Mar 16, 2026").
    • Right arrow (›): Navigate to the next week.
    • View Toggle Button: Switches between two visualization modes:
      • Time View (clock icon, default): Shows active time (green), idle time (dark gray), and offline (light gray).
      • Activity View (activity/pulse icon): Shows activity levels with intensity-based coloring (pink bars where darker = higher activity, gray = offline).

Behavior: Independent of the global date range; shows the latest week by default with navigation to adjacent weeks.

Daily Breakdown: Each day is shown as a row containing:

  • Day name and date (left).
  • Total time worked (right), with idle time or average activity percentage in parentheses depending on the view mode.
  • Activity Tracker: A bar divided into 144 ten-minute blocks spanning 24 hours.
  • Hour Labels: Below each tracker bar showing 2-hour intervals (12h, 2h, 4h, ... 22h).
  • Separator line between days.

Time View Block Colors:

  • Light Gray: No activity / offline.
  • Green: Active work.
  • Dark Gray: Idle time.

Activity View Block Colors:

  • Pink (varying intensity): Activity detected; darker pink = higher activity level.
  • Gray: No activity / offline.

Tooltips: Hover over any block to see a detailed breakdown including:

  • Time block range (e.g., "8:00 AM - 8:10 AM")
  • Whether the block is active or idle
  • Work session start/end times and total duration
  • Idle periods within the session with start/end times and durations

Use cases: Coaching, schedule pattern detection, and validating working hours.


Chronicle (Detailed Activity)

Location on page: When active, Chronicle replaces all sections below the top row cards (KPIs, Tools, Engagement, Time Categories, Weekly Overview are hidden). Displayed as a full-width card.

Chronicle provides per-user detailed activity. It is only accessible to Admins, Primary Admins, and Managers — regular users cannot access Chronicle regardless of stats access level.

Features:

  • Data table with columns for app/website, date, start time, end time, window name, total time, active time, keyboard time, mouse clicks, and mouse movement.
  • Search: Text search with server-side filtering.
  • Grouping: Group results by app/website, window name, automatically assigned projects, manually tracked projects, or combined projects.
  • Server-side sorting: Click column headers to sort; sorting is handled by the API.
  • Infinite scroll: Data loads progressively as you scroll down (with "Load more" behavior).
  • Row click drill-down: Click a grouped row to expand and see individual activity entries within that group.
  • Filtering: Filter by tools, categories, projects, and other criteria via the filter bar.
  • Export: Download chronicle data using the export button in the header.
  • Importance Drawer: Click the importance/category indicator on a tool row to open a side drawer where you can change the tool's categorization (Primary, Secondary, Distracting, Neutral) for a specific department.

Permissions:

  • Managers/Admins/Owners with "detailed activity" permission can view others' Chronicle.
  • Regular users cannot access Chronicle mode.

Date Range Behavior

Profile uses the global date range from the app's Date Range picker (e.g., your Dashboard selection). Change the date range on Dashboard (or other pages) and revisit Profile to see that same range. KPI calculations, tool categories, engagement, and time categories all respect this global date range.

Notes:

  • The Weekly Overview section operates independently of the global date range — it has its own week navigation.
  • Chronicle respects the global date range for its queries.
  • Date range changes are debounced (300ms) to prevent rapid API calls.

Tips:

  • Single day: On pages with date pickers, click the same date twice to select a single day.
  • Consistency: Use the same range when comparing Profile to Dashboard for alignment.

Data Freshness

Data collection: Desktop apps send activity roughly every 10 minutes; most visualizations update within 10–15 minutes.

Full KPI calculation: Some KPIs stabilize within 24 hours; prefer ranges ending 1–2 days ago for reviews.

What this means for you: Today's activity is visible, but weekly/monthly assessments are best done on fully completed days.

Troubleshooting

I can't access another user's Profile

Cause: Insufficient permissions or not granted access. Regular users are blocked from viewing other users' profiles. Solution: Request access from an Admin/Owner or confirm role-based permissions.


I don't see Chronicle details

Cause: Regular users do not have access to Chronicle mode. Only Admins, Primary Admins, and Managers can access it. Solution: Ask your Admin to enable detailed activity where appropriate.


Some sections are missing from my Profile

Cause: Your company's Stats Access Level may be set to TIME_INFO_ACCESS, which limits regular users to seeing only Workday and Availability KPIs and hides Highlights, Tool Categories, Engagement Lists, and Time Categories. Solution: Contact your Admin to check the company's Stats Access Level configuration.


KPIs look off or incomplete

Possible causes & solutions:

  1. Recent data: Wait 24 hours for KPIs to stabilize.
  2. Neutral tools high: Categorize tools to improve Engagement/Productivity accuracy.
  3. Tracking gaps: Ensure the desktop app is installed and running.

I can't edit my KPIs

Cause: KPI editing may be disabled for your access level (TIME_INFO_ACCESS regular users cannot edit KPIs). Solution: Contact your Admin to adjust your access level or ask a Manager to configure KPIs.


My preferences aren't saving

Cause: Browser cookies/local storage disabled. Solution: Enable storage for the Intelogos domain and avoid incognito mode.


Navigation arrows are missing on the User Info Card

Cause: Navigation arrows between users are only visible to Admins, Primary Admins, and Managers. Solution: This is expected behavior. Regular users viewing their own profile do not see navigation arrows.
