Build custom reports with time tracking, KPIs, and advanced metrics.

Welcome to the Intelogos Reports page! This guide explains how to use the Reports page to analyze time, work patterns, and detailed breakdowns for the people you manage. It provides detailed insights into your team's activity and productivity, helping managers and team leads monitor time worked, activity quality, and engagement trends across different time periods.

By default, this page focuses on time tracking, but switching to Advanced Reports enables access to a wide range of performance, engagement, and productivity metrics.

Who Can Access Reports

The Reports page is available to:

  • Managers – See only the users they've been granted access to
  • Admins – Organization-wide access
  • Account Owners – Organization-wide access

Page Layout

  • Page Title: Displayed in the top-left corner of the card, with a blue document icon and the text "Reports".
    • Location: Top-left of the main content card.
  • Date Range Picker: Found in the site header, top-right corner of the page.
    • Location: Global header bar, far right.
  • Actions Bar: A row of icon buttons to the right of the page title.
    • Location: Top-right of the Reports card header, same row as the title.
  • Filter Bar: A row of filter dropdowns and a search box below the card header.
    • Location: Directly below the card header, above the table rows.
  • Data Table: The main table with user rows and day columns.
    • Location: Below the filter bar, takes up the rest of the page.

Date Range and Filters

Date Range Picker

  • Location: Global page header, top-right corner.
  • The selected date range persists across pages.
  • Single-day selection works by clicking the same date twice.
  • Default range is the last 30 days.

Filter Bar

  • Location: Inside the table area, directly above the table rows.

The filter bar contains the following controls (left to right):

Note: Filter options (Job title, Department, Projects) are loaded from your organization's data and may take a moment to appear.

Day Columns

  • The table shows one column per day in your selected date range.
  • Day columns appear after all summary columns.

Default Report View (Time Report)

When you first open the Reports page, it displays data centered around time worked for the selected period.

Key Features:

  • Aggregated Total and Workday Statistics: An overview of each user's work time.
  • Daily Breakdown: A view of each person's daily working patterns, with one cell per day.

Actions Bar (Top-Right of Card Header)

  • Location: Top-right of the Reports card, on the same row as the "Reports" title.

A bar of icon buttons provides several key actions. The buttons appear in the following order (left to right):

Table Layout and Columns

You can customize which columns appear using the View Options button (four-column icon, rightmost button in the actions bar).

Available Columns

View Options Popover

  • Location: Opens from the four-column icon button (rightmost in the actions bar).
  • Checkboxes to show/hide each column.
  • Drag-and-drop handles to reorder columns.
  • Day columns are excluded from the list (they are always visible).
  • Column visibility preferences are persisted per user in local storage.

Daily Time Columns

After the summary columns, you will see day-specific cells:

  • These show one column per day in your date range.
  • Each cell shows worked time (or other metric values in advanced mode).
  • If available, the cell also shows Idle: and Added: time on new lines within the same cell (only when those values are greater than 0).

Cell Highlighting (Color Indicators)

  • Location: Toggle via the paint bucket icon button in the actions bar (top-right of the card header).

Each daily time cell may be color-coded to visualize work performance. This can be toggled on or off via the Highlighting button.

ColorMeaning
GreenUser worked at least the expected amount of time that day.
YellowUser worked some time but less than expected.
RedUser didn't work at all though work was expected.
GrayUnknown or insufficient data to determine.
No colorWeekend or non-working day.

The highlighting tooltip explains these meanings when you hover over the button.


Advanced Reports

  • Location: Opened via the bar chart icon button in the actions bar (top-right of the card header). A small red dot appears on the button when selections are active.

Use the Advanced Reports button to open a side drawer where you can select specific data categories and metrics to include in the report.

After clicking Apply Selection, a progress bar appears while the report is generated. The Average column also appears automatically in this mode. User rows gain expand arrows to reveal the selected detail rows.

The drawer has three footer buttons:

  • Reset — Clears all selections (only visible when selections exist).
  • Discard — Resets selections and closes the drawer, reverting to the default time report.
  • Apply Selection — Applies the current selections and generates the report.

Data Categories & Metrics

  • Overall rating
  • Availability
  • Activity
  • Engagement

2. Time (collapsible section)

  • Day start
  • Day end
  • Work sessions (can include detail rows with time ranges)
  • Idle sessions (can include detail rows)
  • Added sessions (can include detail rows)

3. Tool Importance (collapsible section)

  • Time in tools based on their importance (parent checkbox — selects/deselects all children):
    • Work tools time (primary & secondary combined)
    • Primary tools time
    • Secondary tools time
    • Distracting tools time
    • Neutral tools time
  • Activity in tools based on their importance (parent checkbox):
    • Work tools activity
    • Primary tools activity
    • Secondary tools activity
    • Distracting tools activity
    • Neutral tools activity

4. Tool Engagement (collapsible section)

  • Time in tools based on their engagement (parent checkbox):
    • High engagement time
    • Medium engagement time
    • Low engagement time
  • Activity in tools based on their engagement (parent checkbox):
    • High engagement activity
    • Medium engagement activity
    • Low engagement activity

5. Tool Categories (collapsible section)

  • Time in tools based on their category
  • Activity in tools based on their category

Parent-child checkbox behavior: Checking a parent checkbox selects all its children. Unchecking a parent deselects all children. Checking any child auto-selects the parent. When some children are selected, the parent shows an indeterminate state.


Expanded Rows

  • Location: Click the expand arrow (▶) on any user row in the table to reveal detail rows. The Expand/Collapse All button is the first icon in the actions bar (visible only when expandable rows exist).

After generating an advanced report, each user row gains an expand arrow to reveal the selected details.

  • You can expand a user, then expand a selected detail (e.g., Work sessions → individual sessions, or a tool importance category → individual tools).
  • Tool rows show the tool's logo icon instead of a user avatar.
  • Clicking a tool name in an expanded row opens the Tool Chronicle Dialog, which shows detailed usage information for that tool.
  • Use the Expand/Collapse All button to manage all rows simultaneously.
  • When advanced report selections are first applied, user rows with detail data are auto-expanded.

Projects

  • When projects are enabled for your organization, a Projects column is available in the table (hidden by default, can be shown via View Options).
  • The Projects filter and Group by → Projects option appear in the filter bar.
  • Some users may show project detail rows that summarize time per project within the selected date range.

Export (Download)

  • Location: Click the download arrow icon button in the actions bar (second to last button). A dropdown appears with two options.

Export details:

  • Scope: Exports include all visible columns and reflect your current filters and grouping.
  • It includes all rows from the current dataset, including detail rows even if they are collapsed in the UI.
  • Day cells: Include main time, plus Idle: and Added: on new lines when present.
  • Excel duration formatting: In Excel exports, durations in detailed-info reports display as HH:MM:SS for readability. Raw activity counters use standardized headers: Keyboard (seconds), Mouse Clicks (seconds), and Mouse Movement (seconds).
  • Project columns: When project filtering is active, detailed and grouped reports include project columns in the export.
  • Metadata: Exports include metadata such as company name, date range, active filters, and selected metrics.

Email Reports

  • Location: Opened via the mailbox icon button in the actions bar (third button from the left).

Opens the Email report settings drawer where you can schedule recurring email reports.

Drawer Layout

  1. Description text at the top explains what the email will contain:

    "This email report will be generated for all the users you manage. It will include a KPI summary across all users, and for each individual user, it will display total time, workday, and the first three metrics you select. Additional data will be available in the full report, which can be accessed via the link in the email."

  2. Email frequency — Select one or more:

    • Daily
    • Weekly
    • Monthly
  3. Report content — Select what to include in the report. The same categories and metrics are available as in Advanced Reports:

    • KPIs: Overall rating, Availability, Activity, Engagement, Productivity, Contribution
    • Time: Day start, Day end, Work sessions, Idle sessions, Added sessions
    • Tool Importance: Time in tools by importance (with children), Activity in tools by importance (with children)
    • Tool Engagement: Time in tools by engagement (with children), Activity in tools by engagement (with children)
    • Tool Categories: Time in tools by category, Activity in tools by category
  4. Footer buttons:

    • Reset — Clears all frequency and content selections (visible only when selections exist).
    • Cancel — Closes the drawer without saving.
    • Save — Saves the email report settings.

Email Content Rules

  • All email reports automatically include all KPIs, time, and workday data.
  • Only the first three data selections you chose appear in the email body.
  • The remaining details are available via a "See Full Report" link in the email to the full report on the site.
  • Reports are sent to yourself only.

Report Snapshots

  • Location: Opened via the clipboard list icon button in the actions bar (second button from the left).

Opens the Report snapshots drawer where you can save, load, update, and delete report configurations.

Drawer Layout

  1. "Previously saved reports" heading followed by a list of saved snapshots.

  2. Each saved snapshot card shows:

    • Date range (e.g., "01 Jan 2026 - 31 Jan 2026")
    • What: The selected metrics (shows first 3, with "+ N more" for additional items and a tooltip showing all)
    • Who: Applied filters — departments, projects, user names, status values, and group-by setting. Shows "All users" when no filters are applied. Shows first 3 with tooltip for more.
    • Load button (blue reload icon) — Loads the snapshot's configuration.
    • Delete button (red trash icon) — Opens a confirmation dialog to delete the snapshot.
  3. Save/Update button at the bottom:

    • If no snapshot is loaded: "Save the current report as a snapshot"
    • If a snapshot is currently loaded: "Update the current snapshot"

What Snapshots Save

  • Selected date range
  • Chosen advanced report metrics (report items)
  • Group-by setting
  • Filters: users, departments, projects, managers
  • Status filter
  • The snapshot name is auto-generated from the date range (e.g., "Report 01 Jan 2026 - 31 Jan 2026").

Delete Confirmation

  • Clicking the delete button shows a confirmation dialog: "Are you sure you want to delete this report snapshot? This action cannot be undone."
  • Options: Cancel or Delete.

Note: Snapshots are saved on the server for your account and are not shareable with other users.


URL Parameters

The Reports page supports URL parameters for linking to specific report configurations:

These parameters are applied once on page load and allow sharing specific report views via URL.


Tool Chronicle Dialog

  • Location: Opens when you click a tool name in an expanded row (e.g., clicking "VS Code" in a tool importance detail row).

Shows detailed chronicle information for the selected tool, including usage history and patterns.


Idle Time Behavior

  • Idle time settings affect how totals are calculated.
  • Saved Idle Time: Included in total time, but noted as "idle."
  • Discarded Idle Time: Excluded from total work hours.
  • This setting is controlled in the Desktop Agent or Background Agent configuration.

Sorting

  • Location: Click any sortable column header in the table.

All summary columns are sortable via server-side sorting. Click a column header to sort ascending, click again for descending.

Sortable columns include: Name, Status, Job title, Department, Manager, Full days, Short days, Absent days, Total, Average, Idle, Added, Workday, Average idle, Average added, and all day columns.

Day columns sort by the specific date's value when clicked.


Progress Bar

  • Location: Appears below the card header, above the filter bar, during data loading.

When the report data is loading (especially for advanced reports or large date ranges), a progress bar appears with the message "This may take a few minutes...". The progress bar shows simulated progressive loading and disappears once data is fully loaded and rendered.


Troubleshooting

IssueSolution
Report generation is slowAdvanced mode loads all rows without pagination. For large datasets or wide date ranges, allow more time. The progress bar indicates loading status.
Projects column/filter not visibleProjects are not enabled for your organization. Contact your admin.
I don't see detail rowsEnsure you've selected items in Advanced Reports and click the expand arrow on a user row.
CSV/Excel looks different from the UIDay cells put Idle: and Added: on new lines; that's expected in the export. Excel export preserves highlight colors; CSV does not.
My column preferences aren't savedColumn visibility is saved in localStorage. Allow cookies/local storage and avoid private browsing.
Filters not applyingFilters are server-side and may take a moment to refresh. Ensure you've selected values in the filter dropdowns.
Manager filter not showingThe Manager filter is available to all users but the "Group by Manager" option requires admin privileges.
Table shows "No data available"Check that your date range includes days where tracked users had activity. Try widening the date range.
Red dot on Advanced Reports buttonThis indicates you have active advanced report selections applied. Click the button to view or discard them.
