Cookie and Tracking Policy

Last Updated: January 1, 2025

1. Introduction

This Cookie and Tracking Policy ("Cookie Policy") explains how Intelogos Inc. ("Company," "Intelogos," "we," "us," or "our") uses cookies, pixels, web beacons, local storage, tracking scripts, and other similar tracking technologies (collectively, "Tracking Technologies") on our websites at https://intelogos.com and https://app.intelogos.com, and any other websites, landing pages, or web properties operated by Intelogos (collectively, the "Website").

This Cookie Policy is part of and supplements our Privacy Policy. Terms not defined in this Cookie Policy have the meanings given in our Privacy Policy or Terms of Service.

By continuing to use our Website, you acknowledge and agree that we may use Tracking Technologies as described in this Cookie Policy. Where required by applicable law, we will obtain your consent before placing non-essential Tracking Technologies. You can manage your preferences at any time as described in Section 10.

THIS COOKIE POLICY IS FORWARD-LOOKING AND DESCRIBES TRACKING TECHNOLOGIES THAT WE CURRENTLY USE OR MAY IMPLEMENT IN THE FUTURE. NOT ALL TECHNOLOGIES DESCRIBED HEREIN MAY BE ACTIVE AT ANY GIVEN TIME. WE WILL UPDATE THIS POLICY TO REFLECT MATERIAL CHANGES TO OUR TRACKING PRACTICES.

2. What Are Cookies and Tracking Technologies

Cookies are small text files placed on your device by websites you visit. They are widely used to make websites work, improve user experience, and provide information to website operators. In addition to cookies, we use a range of other Tracking Technologies:

TechnologyDescription
CookiesSmall text files stored on your device that contain a unique identifier and session/preference data. Can be first-party (set by Intelogos) or third-party (set by external services).
Web Beacons / PixelsTiny transparent images (typically 1x1 pixel) embedded in web pages or emails that track whether a page was viewed, an email was opened, or a link was clicked.
Tracking ScriptsJavaScript code loaded on web pages that collects data about visitor behavior, device information, and interactions.
Local StorageBrowser-based storage (localStorage and sessionStorage) that persists data across sessions or within a single session, with larger storage capacity than cookies.
Session ReplayScripts that record mouse movements, clicks, scrolls, form interactions, and page navigation to recreate a visual replay of a visitor's browsing session.
Browser FingerprintingCollection of browser and device attributes (screen resolution, installed fonts, plugins, timezone, language, etc.) to create a semi-unique identifier for the device, even without cookies.
ETags / Cache TokensHTTP response headers that serve as cache validators and can be used to re-identify returning visitors even when cookies are cleared.
Conversion PixelsSpecialized pixels placed on conversion pages (sign-up, checkout) that signal to advertising platforms that a desired action was completed.
Server-Side TrackingCollection of visitor data on our servers rather than in the browser, enabling tracking that persists even when client-side cookies are blocked or deleted.

3. Categories of Tracking Technologies We Use

3.1 Strictly Necessary (Essential)

These Tracking Technologies are essential for the Website to function and cannot be disabled. They enable core functionality such as:

  1. User authentication and session management (login cookies, session tokens, CSRF protection tokens).
  2. Security features including bot detection, rate limiting, and fraud prevention.
  3. Load balancing and server routing.
  4. Remembering cookie consent preferences.
  5. Payment processing session maintenance.

These do not require your consent as they are necessary for the Website to operate.

3.2 Analytics and Performance

These Tracking Technologies help us understand how visitors interact with our Website, measure performance, and identify areas for improvement. They collect information including:

  1. Pages visited, time spent on each page, scroll depth, and click patterns.
  2. Navigation paths (entry page, exit page, page-to-page flow).
  3. Site speed and performance metrics (page load time, time to interactive, largest contentful paint).
  4. Error tracking (JavaScript errors, broken links, failed form submissions).
  5. A/B test assignments and conversion rates for different page variants.
  6. Heatmaps showing where visitors click, move, and scroll on each page.
  7. Session recordings that replay visitor interactions for usability analysis.
  8. Form analytics (field completion rates, abandonment points, time per field).
  9. Funnel analysis (conversion rates through multi-step processes like sign-up, checkout, onboarding).
  10. Cohort analysis (grouping visitors by acquisition date, source, or behavior for trend analysis).

  9. Programmatic advertising participation: Sharing visitor data with demand-side platforms (DSPs) and ad exchanges for real-time bidding.
  10. Email marketing integration: Tracking email opens, click-throughs, and subsequent website behavior.

3.4 Personalization and Preference

These Tracking Technologies remember your choices and customize your experience:

  1. Language, region, and currency preferences.
  2. Previously viewed content, features, or pricing plans.
  3. Customized content recommendations based on browsing history.
  4. Chat widget state and conversation history.

6. Cookie Duration and Lifespan

Cookies and similar storage mechanisms have varying lifespans:

Session cookies: Automatically deleted when you close your browser. Used for authentication, CSRF protection, and session state.

Persistent cookies: Remain on your device for a set period or until manually deleted. Lifespans vary by purpose: analytics cookies may persist for up to 2 years; advertising cookies typically persist for 90 days to 1 year; preference cookies may persist for up to 1 year.

Local storage: Persists indefinitely until cleared by the visitor or by our scripts. We use local storage for UTM parameters, traffic source attribution, session counts, visitor timestamps, and device information to ensure attribution data survives cookie expiration.

Session storage: Cleared when the browser tab is closed. Used for single-session data like pages visited in current session and active session indicators.

7. Cross-Device and Cross-Site Tracking

We may employ cross-device tracking techniques to link your activity across different devices (e.g., your phone, laptop, and tablet) to a single user profile. This may be accomplished through: (a) deterministic matching when you log into our Service on multiple devices; (b) probabilistic matching using device characteristics, IP addresses, and behavioral patterns; and (c) advertising platform cross-device graphs (e.g., Google's cross-device linking, Meta's cross-device identification).

We also participate in cross-site tracking through third-party advertising networks. When you visit our Website, third-party cookies and pixels may be placed on your device that allow advertising networks to recognize you when you visit other websites and show you targeted advertisements related to Intelogos.

We may use server-side tracking methods that transmit event data from our servers directly to advertising platforms (e.g., Facebook Conversions API, Google Measurement Protocol). This enables tracking to persist even when client-side cookies are blocked by browsers or ad blockers.

8. Data Sharing with Advertising and Analytics Partners

Data collected through Tracking Technologies on our Website may be shared with or transmitted to third-party advertising and analytics partners. This sharing includes:

  1. Hashed identifiers: Hashed email addresses, phone numbers, or other identifiers uploaded to advertising platforms for audience matching and custom audience creation.
  2. Conversion events: Information about actions taken on our Website (sign-up, demo request, purchase) sent to advertising platforms for campaign optimization.
  3. Audience segments: Visitor segments based on behavior (e.g., "visited pricing page," "started sign-up but didn't complete") shared with advertising platforms for retargeting.
  4. Anonymized/aggregated analytics: Aggregated visitor data shared with analytics partners for benchmarking and industry reports.
  5. Real-time bidding data: IP address, user agent, page URL, and other signals shared with ad exchanges during programmatic ad auctions.

IMPORTANT: Some jurisdictions, including California under the CCPA/CPRA, may classify certain data sharing with advertising partners as a "sale" or "sharing" of personal information. See Section 9 for your rights regarding such sharing.

9. Your Rights and Choices

9.1 Cookie Consent

Where required by applicable law (including the ePrivacy Directive, GDPR, and UK PECR), we will present a cookie consent banner when you first visit our Website. You may accept all cookies, reject non-essential cookies, or customize your preferences by category. You may change your cookie preferences at any time by clicking the "Cookie Preferences" link in the footer of our Website.

9.2 Browser Controls

Most web browsers allow you to control cookies through their settings. You can typically: view and delete existing cookies; block all cookies or only third-party cookies; set your browser to notify you before a cookie is placed; and clear all cookies when you close your browser. Note that blocking or deleting cookies may affect the functionality of our Website and prevent certain features from working correctly.

9.3 Opt-Out of Interest-Based Advertising

You can opt out of interest-based advertising from participating companies through: the Digital Advertising Alliance (DAA) at https://optout.aboutads.info/; the Network Advertising Initiative (NAI) at https://optout.networkadvertising.org/; the European Interactive Digital Advertising Alliance (EDAA) at https://www.youronlinechoices.eu/; or by using platform-specific opt-out tools provided by Google, Meta, LinkedIn, and other advertising partners.

9.4 Google Analytics Opt-Out

You can prevent Google Analytics from collecting data by installing the Google Analytics Opt-out Browser Add-on at https://tools.google.com/dlpage/gaoptout.

9.5 Do Not Track (DNT)

There is currently no universally accepted standard for DNT signals. Our Website does not currently change its behavior in response to DNT browser signals. However, you may use the opt-out mechanisms described above to limit tracking.

9.6 Global Privacy Control (GPC)

We recognize and honor Global Privacy Control (GPC) signals where required by applicable law (including the CCPA/CPRA). When we detect a GPC signal, we will treat it as a valid opt-out of the sale and sharing of personal information for that browser/device.

9.7 California Residents

Under the CCPA/CPRA, California residents have the right to opt out of the "sale" or "sharing" of personal information. To the extent that our use of Tracking Technologies constitutes a sale or sharing of personal information under California law, you may opt out by: using our cookie consent mechanism to reject advertising cookies; sending a GPC signal; or contacting us at privacy@intelogos.com. We do not knowingly sell the personal information of minors under 16.

9.8 EEA, UK, and Swiss Residents

Under the GDPR and ePrivacy Directive, non-essential cookies require your prior consent. You may withdraw your consent at any time through our cookie consent mechanism. Where we process personal data collected through Tracking Technologies, you have the rights described in our Privacy Policy, including the rights of access, rectification, erasure, restriction, portability, and objection.

10. Disclaimers and Limitation of Liability

INTELOGOS IS NOT LIABLE FOR: (A) THE DATA COLLECTION OR PRIVACY PRACTICES OF ANY THIRD-PARTY SERVICE, ADVERTISING NETWORK, OR ANALYTICS PROVIDER WHOSE TRACKING TECHNOLOGIES ARE DEPLOYED ON OUR WEBSITE; (B) ANY UNAUTHORIZED TRACKING BY THIRD-PARTY SCRIPTS BEYOND THE SCOPE AUTHORIZED BY INTELOGOS; (C) THE ACCURACY OR COMPLETENESS OF DATA COLLECTED THROUGH TRACKING TECHNOLOGIES; (D) ANY LOSS OR DAMAGE ARISING FROM YOUR BROWSER SETTINGS, AD BLOCKER CONFIGURATIONS, OR COOKIE PREFERENCES; OR (E) CHANGES TO THIRD-PARTY TRACKING TECHNOLOGIES, BROWSER POLICIES, OR PLATFORM TERMS THAT MAY AFFECT THE FUNCTIONALITY OF TRACKING ON OUR WEBSITE.

Third-party services have their own privacy policies and terms of service. We encourage you to review the privacy policies of all third-party services referenced in this Cookie Policy. Intelogos is not responsible for and does not control the data practices of these third parties.

The limitations of liability set forth in our Terms of Service and Privacy Policy apply to all matters arising from or related to the use of Tracking Technologies described in this Cookie Policy.

11. Data Retention for Tracking Data

In addition to cookie and local storage lifespans described in Section 6, the underlying data collected through Tracking Technologies is retained as follows:

  1. Raw Analytics Event Data: Retained in Google Analytics for up to 14 months (configurable). Retained in Hotjar for up to 365 days. Retained in our own systems for up to 24 months.
  2. Advertising Conversion Data: Retained by advertising platforms (Google, Meta, LinkedIn, etc.) in accordance with their respective data retention policies and applicable law. We do not control retention periods set by third-party advertising platforms.
  3. Attribution and Campaign Data: UTM parameters, traffic source data, and campaign attribution stored in local storage persist until cleared by the visitor. Server-side attribution records are retained for up to 36 months for marketing analysis and ROI reporting.
  4. Session Recordings: Retained for up to 365 days by session replay services (e.g., Hotjar), after which they are automatically deleted.
  5. Heatmap and Aggregate Data: Aggregated behavioral data (heatmaps, funnel reports, cohort analyses) may be retained indefinitely as it does not identify individual visitors.
  6. Email Engagement Data: Email open and click tracking data is retained for the duration of the visitor's marketing relationship plus 24 months.

Upon receipt of a verified deletion request from an identifiable visitor, we will delete or anonymize their tracking data from our own systems within 30 days. We cannot guarantee deletion from third-party systems (such as Google Analytics or advertising platforms), as these are governed by the third party's own retention and deletion policies.

12. First-Party and Third-Party Cookies

First-Party Cookies are set by Intelogos directly (under the intelogos.com domain) and can only be read by our Website. These include session cookies, authentication tokens, consent preference cookies, and certain analytics identifiers.

Third-Party Cookies are set by external services loaded on our Website (such as Google, Meta, LinkedIn, Hotjar, and other services described in Section 5). These cookies can be read by the third party across multiple websites, enabling cross-site tracking and retargeting. Third-party cookies are governed by the privacy policies of their respective providers.

Note: Major browsers are progressively restricting or phasing out third-party cookies. We may adopt alternative tracking methods as browser policies evolve, including server-side tracking, first-party data strategies, Privacy Sandbox APIs (such as Google's Topics API and Attribution Reporting API), and identity resolution services. We will update this Policy to reflect any material changes to our tracking methods.

13. International Data Transfers

Data collected through Tracking Technologies on our Website may be transferred to and processed in the United States and other countries where our third-party service providers operate (including Google, Meta, Hotjar, and other providers listed in Section 5). These countries may have data protection laws that differ from those in your jurisdiction.

Where required by applicable law (including the GDPR and UK GDPR), we rely on appropriate transfer mechanisms for cross-border data transfers, which may include: Standard Contractual Clauses (SCCs) incorporated into our data processing agreements with third-party providers; adequacy decisions by the European Commission or UK Secretary of State; or other approved transfer mechanisms. We require our third-party tracking service providers to implement appropriate safeguards for international data transfers.

14. Consent Management

14.1 How Consent Is Obtained

Where required by applicable law, we obtain consent for non-essential Tracking Technologies through a cookie consent banner displayed upon your first visit to our Website. The consent mechanism provides: a clear "Accept All" option; a "Reject All" or "Necessary Only" option with equal prominence; and a "Manage Preferences" option that allows granular category-level choices (analytics, marketing, personalization). We do not use pre-checked boxes for non-essential categories. Consent is not bundled — you may accept analytics cookies while rejecting marketing cookies, or vice versa.

14.2 How Consent Is Recorded

When you make a consent choice, we record: the date and timestamp of your consent; the version of this Cookie Policy in effect; the specific categories accepted or rejected; and a unique consent identifier. This consent record is retained for the duration of the consent period and for a reasonable period thereafter for compliance documentation.

14.3 How to Withdraw Consent

You may withdraw or modify your consent at any time by: clicking the "Cookie Preferences" or "Manage Cookies" link available in the footer of every page on our Website; clearing cookies in your browser settings; or contacting us at privacy@intelogos.com. Withdrawal of consent takes effect immediately for future tracking. Data already collected prior to withdrawal is processed in accordance with the consent given at the time of collection.

14.4 Consent Expiration

Your consent preferences are stored for up to 12 months, after which you will be prompted to confirm or update your preferences. If you clear your cookies, your consent preferences will be reset and you will see the consent banner again on your next visit.

15. Vendor Data Processing Relationships

We maintain data processing agreements (DPAs) with all third-party vendors that process personal data collected through Tracking Technologies on our behalf. These DPAs include obligations regarding: data security measures; data processing limitations (processing only for specified purposes); sub-processor restrictions; data breach notification; audit rights; and data deletion upon termination.

Some advertising partners (such as Google, Meta, and LinkedIn) operate as independent data controllers for data collected through their pixels and tags, rather than as data processors. In such cases, those partners' own privacy policies govern their processing of data collected through their technologies on our Website. We do not control their data processing practices.

We periodically review our vendor relationships and data processing agreements. Changes to our vendor list will be reflected in updates to this Cookie Policy.

16. Scope Clarification — Website Only

This Cookie Policy applies exclusively to our Website (https://intelogos.com, https://app.intelogos.com, and related web properties). This Cookie Policy does NOT apply to the Background Agent desktop application or any data collected by the Background Agent from Authorized Users' computers. Data collection by the Background Agent is governed by our Privacy Policy and the applicable Terms of Service. The Background Agent does not use cookies or web-based Tracking Technologies.

17. Updates to This Cookie Policy

We may update this Cookie Policy from time to time to reflect changes in our tracking practices, the addition or removal of third-party services, or changes in applicable law. The updated version will be indicated by an updated "Last Updated" date at the top of this Policy. We encourage you to review this Cookie Policy periodically. Material changes may be communicated through our cookie consent mechanism or by notice on our Website.
