ActivTrak's pricing page lists a free plan and three paid workforce plans, priced per worker per month and billed annually; there is no monthly price. These plans replaced Essentials, Essentials Plus and Professional on July 15, 2026 (ActivTrak release notes, checked September 30, 2026).

What does ActivTrak cost for 10, 50 and 100 users?

Every figure below is the first-year cost at published prices on annual billing, with the arithmetic shown. The Intelogos columns price one license per user on yearly billing, at $8 per license per month for Analytics and $12 for AI Intelligence.

One ActivTrak plan, per year

To compare like for like, this table prices ActivTrak with the plans and add-on that cover what Intelogos AI Intelligence includes: Workforce Management for app and website usage, real-time and daily activity views and schedules; Productivity Optimization for AI coaching recommendations, team comparisons, workload and burnout insights; and Screen Details for full URLs and window titles, which the Intelogos Chronicle timeline shows. At list prices that is $15 + $17 + $2 = $34 per worker per month; with ActivTrak's advertised 30% bundle saving applied to both plans it is ($32 × 0.7 = $22.40) + $2 = $24.40.

At every size, the ActivTrak plans that match Intelogos AI Intelligence cost about twice as much, even with the bundle saving. ActivTrak's cheapest paid plan, Work Activity Tracking, costs less than AI Intelligence but more than Intelogos Analytics, and it has no AI coaching. On monthly billing, Intelogos Analytics costs $1,200, $6,000 and $12,000 a year for 10, 50 and 100 licenses, and AI Intelligence $1,800, $9,000 and $18,000; ActivTrak doesn't offer monthly billing.

Not in the ActivTrak total:

• HRIS Integration add-on, which brings time off from your HR system into ActivTrak reports (Intelogos includes a time off module in both plans). It's a flat annual fee that ActivTrak quotes through sales.
• Paid support. ActivTrak requires a Premier or Signature support plan for purchases of more than 50 licenses, so it doesn't apply at exactly 50, and it doesn't publish the price. Intelogos AI Intelligence includes priority support.
• ActivTrak's MCP server, the counterpart to Intelogos MCP. ActivTrak's pricing table lists it as an add-on, while its release notes said the Claude connector, due October 13, 2026, comes at no additional cost on Workforce Management and Productivity Optimization (checked September 30, 2026).

Two caveats that could lower the ActivTrak figure:

• ActivTrak's help center and pricing FAQ list full URLs and title bars under Screen Details, but the plan comparison table on its pricing page marks them as included in Workforce Management and Productivity Optimization. If your quote includes them without the add-on, take $2 per worker per month off ($1,200 a year for 50 users). Screen Details also turns on screenshots and live screen views; Intelogos never captures screenshots or screen recordings.
• The pricing page no longer shows a Screen Details price, so the $2 figure is the help center's rate from September 30, 2026.

Where ActivTrak comes out cheaper:

• Up to 3 people. ActivTrak's free plan covers 3 workers at no cost. Intelogos has a free trial but no free plan.
• Basic tracking without AI. ActivTrak Work Activity Tracking costs $6,000 a year for 50 workers, which is $1,200 less than Intelogos AI Intelligence. It has no coaching or Work Advisor, so the closer Intelogos match is Analytics: $4,800 a year billed yearly, or $6,000 on monthly billing.

What costs extra in 2026?

Several capabilities are sold as add-ons on top of the plan price, and each per-user add-on must cover every license on the account, so 50 workers means 50 add-on licenses (ActivTrak Product Packages guide, checked September 30, 2026). Here are the published rates:

Beyond add-ons, three additional cost layers catch buyers off guard:

Paid support above 50 licenses. ActivTrak's pricing page says a paid support plan is required for any purchase involving more than 50 licenses. Its help center describes Digital, Premier and Signature support tiers, and ActivTrak doesn't publish the prices of the paid ones (checked September 30, 2026).

Implementation and services. ActivTrak sells implementation, integration and managed administration services through its sales team and doesn't publish prices for them (ActivTrak services page, checked September 30, 2026).

Ongoing operational overhead. Agent management, app classification, and data maintenance consume IT staff time that doesn't appear on the invoice but factors into total cost of ownership.

Feature gating: what each ActivTrak plan leaves out

ActivTrak's 2026 packages split features by goal instead of stacking them in tiers, so the plan with the feature you want may lack one you expect. Everything below comes from ActivTrak's Product Packages guide (checked September 30, 2026) and pricing page (as of October 2026).

AI coaching is in Productivity Optimization only

AI-powered coaching opportunities are only in Productivity Optimization ($17 per worker per month) and the bundle. Work Activity Tracking ($10) and Workforce Management ($15) don't include them. Work Advisor, ActivTrak's assistant for plain-language questions, comes with Workforce Management and Productivity Optimization but not Work Activity Tracking.

Productivity Optimization leaves out app and website reports

Productivity Optimization doesn't include ActivTrak's website usage, application usage, real-time visibility or daily work metrics reports. Those are in Work Activity Tracking and Workforce Management, so a team that wants coaching and app usage data needs both plans or the bundle.

Goals start at Workforce Management

Account-level productivity goals start at Workforce Management ($15 per worker per month). Team-level goals and benchmarks need Productivity Optimization.

Burnout, team comparison and workload balance need Productivity Optimization

Employee engagement and burnout, team comparison and workload balance are Productivity Optimization features. Managers who want them pay at least $17 per worker per month.

Screen Details costs extra

Screenshots, live screen views and app termination require the Screen Details add-on, on Work Activity Tracking, Workforce Management or the bundle. It isn't available with Productivity Optimization alone (ActivTrak's package changes article, checked September 30, 2026). ActivTrak's help center also lists detailed URLs and title bars under Screen Details, though its pricing table shows them as included in Workforce Management and Productivity Optimization.

The practical impact

ActivTrak moved customers on its old Professional plan to the Workforce Management + Productivity Optimization bundle (release notes, checked September 30, 2026), and that bundle is what a team needs for coaching plus app and website data. At list prices that's $32 per worker per month before the bundle saving and any add-ons.

What are ActivTrak's contract and renewal terms?

ActivTrak sells annual contracts that renew automatically; here is how it bills, what you can change mid-term and what it takes to cancel, from its pricing page, help center and subscription agreement. Annual billing only

All ActivTrak paid plans are billed annually; its pricing FAQ says "We currently only offer annual plans" (as of October 2026). For a 50-person team, Workforce Management alone is a $9,000 commitment for the year ($15 × 50 × 12), and Work Activity Tracking is $6,000. That's a significant commitment before you've fully evaluated whether the tool works for your team.

Automatic renewal and the 30-day notice window

ActivTrak's subscription agreement renews a subscription automatically for another term of the same length unless you give notice at least 30 days before the term ends. Miss that window and you owe the fees for the renewal term (ActivTrak Master Subscription Agreement, section 11.1, checked September 30, 2026). Adding and removing licenses

You can add licenses or upgrade at any time in ActivTrak's in-app cart; new licenses and per-worker add-ons are prorated to the end of your current term. Reducing licenses, downgrading or removing an add-on only takes effect at renewal, and ActivTrak doesn't refund the rest of the current term (ActivTrak's package changes article, checked September 30, 2026). If you go over your license count, you get a 14-day grace period, after which reports show no data until the count is back within the limit (pricing page, as of October 2026).

No mid-term exit

ActivTrak's help center says cancellations aren't permitted during an active contract and refunds aren't issued; a cancellation takes effect at the end of the term, when the account drops to the free plan (checked September 30, 2026). The 14-day trial limitation

ActivTrak's free trial lasts 14 days and covers the Workforce Management + Productivity Optimization bundle; afterward the account drops to the free plan (pricing page, as of October 2026). Two weeks can be tight for deploying across a team, configuring classifications, gathering meaningful data, and judging whether the insights justify the cost.

Understanding ActivTrak's cost structure reveals clear opportunities to save, either by negotiating better terms or by choosing a platform with transparent pricing.

Strategy 1: choose all-inclusive pricing

The most straightforward way to save is choosing a platform where the published price is the actual price. Intelogos is a workforce analytics platform that shows how work time is spent across apps and websites, without screenshots or keystroke logging, and lets managers ask questions about it in plain language. It offers two self-serve plans, priced per license per month:

• Analytics: $8 billed yearly or $10 billed monthly: the seven KPIs, team and daily activity views, the Chronicle activity timeline, advanced reports and snapshots, tool categorization, projects tracking, time off management and Generate Insights (5 a month)
• AI Intelligence: $12 billed yearly or $15 billed monthly: everything in Analytics plus Ask AI, AI Performance Summaries, AI Coaching Recommendations, Intelogos MCP and priority support

Direct comparison for AI features: ActivTrak's AI-powered coaching is in Productivity Optimization at $17 per worker per month, and its app and website reports are in Workforce Management at $15, both billed annually. Intelogos AI Intelligence covers both at $12 per license per month billed yearly. Both products take plain-language questions: Intelogos through Ask AI, and ActivTrak through Work Advisor on Workforce Management and Productivity Optimization.

Strategy 2: avoid paying for unused bundles

ActivTrak's 2026 packages are more modular than its old tiers: coaching and workload insights sit in Productivity Optimization, while hours, schedules, and app and website usage sit in Work Activity Tracking and Workforce Management. Productivity Optimization on its own doesn't include ActivTrak's website and application usage reports, so teams that want both buy two plans or the bundle. Look for platforms that include activity data and AI insights in one plan.

Strategy 3: eliminate add-on creep

With ActivTrak, detailed URLs and title bars (Screen Details), HRIS time-off sync (a flat annual fee quoted by sales) and API access (ActivConnect) stack on top of base pricing, and each per-user add-on must cover every license. ActivTrak doesn't offer monthly billing. Other platforms, including Intelogos, do.
