It is not session recording and not keylogging. Intelogos doesn't take screenshots, and it doesn't record what people type; it records only whether keyboard or mouse input happened, which is how it separates active time from idle time.

What does Intelogos record on each computer?
On every computer with an agent, Intelogos records application and website usage, window titles, active and idle periods and whether input happened. It never records the screen or what people type.

Idle time is detected from the input signal: after 10, 20, 30 or 60 minutes without keyboard or mouse activity (set separately for communication apps and other apps), the period is flagged idle, and admins choose whether idle time is saved or discarded. Long idle periods of 2 to 12 hours can be discarded automatically. Idle time settings

Deployment
Background or desktop agents: which should you deploy?
Deploy background agents to company-owned Windows and Mac computers, and the desktop agent to people who work on personal computers. Both can run in the same organization, and their data lands in the same reports.

The help center is clear on one point: it is the company's responsibility to inform employees when background tracking is in place. Give notice before you deploy, whichever agent you choose.

What does a user activity report show?
A user activity report lists the apps and websites used on a computer, how long each was active, the window titles and URLs behind them, and the category each one belongs to.

App and website list
Every application and website used on the computer, with the time in each. The Tools page lists them across the team, most-used first; Profile and Chronicle show them per person.

Active vs idle
Each period is active or idle, based on whether keyboard or mouse input happened. The idle threshold is 10, 20, 30 or 60 minutes, set separately for communication apps.

Window titles and URLs
The title of the active window and the URL of the page. They make the report useful and are also its most sensitive part: they can include document names or email subject lines.

Categories
Each app and website is Primary, Secondary, Distracting or Neutral, set for the company and overridden per department. Engagement and Productivity count only Primary and Secondary time.
Chronicle is the most detailed view and is restricted: the Owner sees it, and Admins and Managers only with the optional permission. Time reports and advanced reports export to CSV or Excel and can be scheduled by email, so finance and IT can work with the data outside Intelogos. See the Chronicle guide and the Reports guide.
Who can see the data, and how long is it kept?
Four roles decide who sees what. The Owner sees everything, Admins see all users, Managers see only the people assigned to them, and regular Users see only their own data.
Owner
Sees everythingEvery user, every page, all settings and billing. There is exactly one Owner per account.
Admin
All usersSees and edits all user data and the organization settings. Chronicle access and billing are optional permissions toggled per Admin.
Manager
Assigned people onlySees the people, departments or projects assigned to them, so a team lead never sees another team. Chronicle access is an optional permission.
User
Own data onlySees their own data, as much as the account-wide visibility setting allows: Time only, or Time, activity, tool usage and more. Never sees Chronicle, even for themselves.
How long is the data kept?
Intelogos doesn't publish a default retention period on this site. The Enterprise plan lists custom data retention as a feature, so retention can be set to your policy there; retention details for every plan are available on request before you buy.

Security and access controls

- Managers are scoped to specific users, departments or projects, and their scope follows the department as it changes.
- SSO/SAML authentication, audit logs and API access on the Enterprise plan.
Device policy
Can you monitor personal devices?
Keep user activity monitoring to company devices. People who work on personal computers use the visible desktop agent, which they install and control themselves.
Background agents belong on computers the company owns and manages, where an admin can deploy them centrally and nobody expects personal use. On a personal laptop the desktop agent is the right tool: the person starts it for work and quits it afterwards, and admins can let people skip activity tracking so the agent records time only.
Whatever the device, give notice first. Some US states require written notice before electronic monitoring, and the help center says it is the company's responsibility to inform employees about background tracking.
