Insightful pricing in 2026: plans, real costs and contract terms
Insightful charges per seat per month, from $8 on annual billing to $16 for the Combo Plan as of October 2026. Intelogos costs $8 per license per month billed yearly, without screenshots or keystroke logging. Below: every Insightful plan, real totals for 10, 50 and 200 seats, and the contract terms to check before you sign.
We make Intelogos. Insightful's plans, prices, add-ons and trial come from its pricing page, and its billing and contract terms from its help center and Terms of Service, all checked October 23, 2026. Intelogos prices come from the Intelogos pricing page. This guide is based on that documentation, not hands-on testing; every source is listed at the end. Prices are in US dollars, before tax.
Why Intelogos is our pick against Insightful
- The same entry price, without screenshots. Intelogos Analytics costs $8 per license per month billed yearly, the same as Insightful Workforce Analytics per seat. Intelogos doesn't take screenshots. Intelogos doesn't record what people type; it records only whether keyboard or mouse input happened.
- AI on a plan you can buy today. Intelogos AI Intelligence costs $12 per license per month billed yearly, $4 less than Insightful's most complete self-serve plan, the Combo Plan, and includes Ask AI for plain-language questions, AI Performance Summaries, AI Coaching Recommendations and Intelogos MCP. Insightful's AI page says its InsightsAI assistant is available only through a private beta program (as of October 2026).
- Monthly prices you can see. The Intelogos pricing page lists monthly billing for both paid plans, at $10 and $15 per license per month. Insightful's pricing page shows annual prices only and says month-to-month billing is available on select plans.

How much does Insightful cost?
Insightful lists three self-serve plans priced per seat per month on annual billing: Workforce Analytics at $8, Workflow Optimization at $12 and the Combo Plan at $16, with Enterprise priced by quote (as of October 2026). Its help center lists month-to-month prices of $10, $15 and $20 for the same three plans.
| Plan | Per seat per month, billed annually | Per seat per month, month-to-month | What it is |
|---|---|---|---|
| Workforce Analytics | $8 | $10 | Insightful's most popular plan: time, activity and app and website usage, with screenshots included |
| Workflow Optimization | $12 | $15 | A beta open to select customers: workflow mapping, tracking and measurement, without screenshots or app and website usage reports |
| Combo Plan (Analytics + Optimization) | $16 | $20 | Both plans together; Insightful says it saves 20% against buying them separately |
| Enterprise | Custom | Custom | Everything above plus Enterprise-only reports, audit logs, SSO and the security features, with per-user pricing set in the Enterprise agreement |
| Hyperscaler Plan | Not listed | Not listed | For eligible customers with large, variable workforces, under separate Hyperscaler Plan Terms |
Annual prices, plan status and the Combo Plan saving from Insightful's pricing page; month-to-month prices from Insightful's help center plan articles (Workforce Analytics dated September 3, 2026; Workflow Optimization and Combo Plan dated July 9, 2026). All checked October 23, 2026.
Four rules decide how those prices turn into an invoice:
- Billing is per tracked employee. Each employee counts as one user however many devices they use, and people with Admin, Manager or Client access aren't charged unless Insightful also tracks them (pricing page FAQ). Devices that aren't merged into one employee become separate billable seats, which Insightful's help center says happens most often on company-owned computers.
- Annual is the default. The pricing page shows annual prices and says month-to-month billing is "also available on select plans", without naming them. Insightful's help center says it offers a 20% discount for annual payment.
- Add-ons cover every seat. Insightful's help center says an add-on is always activated for all the seats on your base plan, on the same billing cycle. See the add-on prices below.
- On-premise needs 250 licenses. Insightful can be deployed on your own infrastructure if you buy licenses for at least 250 employees; its plan table lists an extra service fee for it on the Combo and Enterprise plans.
Insightful also lists Work Intelligence, an alpha for qualified customers that starts with a free 14-day audit, without a price.
Intelogos publishes both billing options for both paid plans on its pricing page: Analytics at $8 per license per month billed yearly or $10 billed monthly, and AI Intelligence at $12 or $15. Enterprise is priced by quote.
What's included in each Insightful plan?
Workforce Analytics is Insightful's time, activity and productivity plan, with screenshots; Workflow Optimization is a separate process-mapping product in beta; the Combo Plan bundles the two; and Enterprise adds reports, security features, SSO and audit logs. This is how the plan comparison on Insightful's pricing page breaks down as of October 2026.

From the plan comparison on Insightful's pricing page, checked October 23, 2026.
Two things stand out. Workflow Optimization on its own leaves out screenshots, app and website usage and productivity analysis, so most teams comparing monitoring tools are choosing between Workforce Analytics at $8 and the Combo Plan at $16. And the security features are add-ons on every self-serve plan: the pricing page sells the Workspace Security Plan add-on at $4 per seat per month, listing insider threat detection and activity logs.
Insightful's add-ons, per seat per month
| Add-on | Price | What it adds |
|---|---|---|
| Workspace Security Plan | $4 | Insider threat detection and activity logs |
| On-Demand Screenshots | $4 | Instant snapshots of a screen |
| Increased Frequency Screenshots | $3 | Up to 120 screenshots an hour |
| Screen Recording | $4 | Capture and playback of screen recordings |
| Data Warehouse Integrations | $0.50 | Custom API access, BigQuery and Snowflake |
Prices from Insightful's pricing page, checked October 23, 2026. Insightful's help center says add-ons apply to every seat on the base plan, follow its billing cycle, and keep running to the end of a paid period after you remove them, with no credit.
On AI, the pricing page lists the AI Adoption Report on every plan. Insightful's AI page says its InsightsAI assistant, which answers questions about workforce data, is available only through a private beta program and will later become an add-on, and its help center describes a read-only MCP server for connecting AI assistants (all checked October 23, 2026).
What will you actually pay for Insightful?
For 50 seats, Insightful costs $4,800 a year on Workforce Analytics, $7,200 on Workflow Optimization and $9,600 on the Combo Plan billed annually, or $6,000, $9,000 and $12,000 at the help center's month-to-month prices. Add-ons, extra device seats and Enterprise features come on top.
| Plan | Billing | 10 seats | 50 seats | 200 seats |
|---|---|---|---|---|
| Workforce Analytics | Annual, $8 | $960 | $4,800 | $19,200 |
| Workforce Analytics | Month-to-month, $10 | $1,200 | $6,000 | $24,000 |
| Workflow Optimization | Annual, $12 | $1,440 | $7,200 | $28,800 |
| Workflow Optimization | Month-to-month, $15 | $1,800 | $9,000 | $36,000 |
| Combo Plan | Annual, $16 | $1,920 | $9,600 | $38,400 |
| Combo Plan | Month-to-month, $20 | $2,400 | $12,000 | $48,000 |
Price per seat per month × 12 × seats, before tax. Annual prices from Insightful's pricing page and month-to-month prices from its help center plan articles, checked October 23, 2026. The pricing page doesn't say which plans can be bought month to month, so confirm before you budget for it.
What raises the total:
- Add-ons on every seat. Screen recording on Workforce Analytics for 50 seats costs ($8 + $4) × 50 × 12 = $7,200 a year, 50% more than the plan alone. Add the Workspace Security Plan as well and it's ($8 + $4 + $4) × 50 × 12 = $9,600.
- Seats you didn't plan for. Devices that aren't merged into one employee are billed as separate seats, so check company computers before the first invoice.
- Growth during an annual term. Employees you add are charged pro rata to the end of the term; Insightful's help center says it invoices annual expansions once they pass $200.
- Enterprise-only features. Audit logs, SSO, team-based utilization, hybrid work insights and internet connectivity reporting are Enterprise features, priced by quote.
- Self-hosting. On-premise deployment starts at 250 licenses and carries an extra service fee on the Combo and Enterprise plans, plus the cost of running it yourself.
Which Insightful contract terms should you check?
Insightful subscriptions renew automatically unless you give written notice at least 30 days before the term ends, and its Terms of Service make fees non-cancelable and non-refundable unless your order form says otherwise. Here is what its terms and help center say about each point, checked October 23, 2026.
Commitment and billing period
Your first term is whatever your order form sets. The pricing page shows annual prices, with month-to-month billing on select plans, and Insightful's help center says annual payment carries a 20% discount and that discounts may apply for multi-year commitments. You can switch from annual to monthly billing at any time, but the unused part of the annual payment becomes a credit on your account for later invoices, not a refund.
Seat minimums
Insightful's pricing page lists no seat minimum for its cloud plans; on-premise deployment needs licenses for at least 250 employees. A subscription stays active while at least one employee is active, and deactivating the last one cancels it.
Automatic renewal and price changes
The Terms of Service renew the subscription for the term in your order form. Insightful sends a renewal notice at least 45 days before the term ends, and either side can stop the renewal with written notice at least 30 days before the end. Insightful can change its fees from the next term if it tells you at least 45 days before the current one ends; using the service after the change counts as accepting it.
Removing seats and add-ons
On an annual plan, deactivated seats and downgrades earn a pro-rated credit applied to the next annual invoice at renewal; Insightful issues no separate refund for reductions. On a monthly plan, you're billed for the employees on the account at the start of each cycle, with mid-cycle changes pro-rated on the next invoice. A removed add-on runs to the end of the paid period with no credit.
Cancellation and refunds
Admins, and managers with billing permission, cancel in Settings, Billing, Subscriptions, Plans, with the Unsubscribe button; Insightful's support team confirms by the end of the next business day. Under the Terms of Service, payments are non-refundable, and cancelling an automatically renewing subscription before the term ends doesn't refund fees already paid. Insightful's 7-Day ROI Promise, for customers with at least 10 employees, offers 30 days of free service as its only remedy, not a refund.
Data after you leave
On written request, Insightful deletes your data or makes it available to export within 30 days after the agreement ends; after that, it has no obligation to keep it. Export what you need before the term runs out.
Free trial
The trial lasts 7 days with full access except automatic time mapping, no credit card and no limit on employees. Tracking stops when the trial ends unless you subscribe.
Intelogos subscriptions also renew automatically unless either side gives written notice at least 30 days before the term ends (Intelogos Terms and Conditions, section 7.3), so diary that date whichever tool you pick. What differs is how you can start: both Intelogos paid plans begin with a free trial and have a monthly price on the pricing page, so a team can choose monthly billing instead of paying for a year up front.
How does Insightful's pricing compare with Intelogos?
Seat for seat, the list prices match at the entry level: Intelogos Analytics and Insightful Workforce Analytics both cost $8 per license or seat per month billed annually, or $10 monthly. Intelogos's top self-serve plan, AI Intelligence, costs $12 ($15 monthly), $4 less than Insightful's Combo Plan. The difference is what the price buys. What the numbers show:
- At $8, the choice is about data, not price. Insightful Workforce Analytics includes screenshots; Intelogos Analytics gives you seven KPIs, the Chronicle timeline of apps and windows, reports and Generate Insights AI reports instead, and never captures a screen. For 50 seats, both cost $4,800 a year billed annually.
- The top self-serve plan costs less with Intelogos. For 50 seats billed annually, AI Intelligence costs $7,200 a year against $9,600 for the Combo Plan, and for 200 seats $28,800 against $38,400. The plans aren't identical: the Combo Plan adds workflow mapping and payroll, while AI Intelligence adds Ask AI, AI Performance Summaries, AI Coaching Recommendations and Intelogos MCP.
- Add-ons widen the gap. Screen recording adds $2,400 a year for 50 Insightful seats, and the Workspace Security Plan another $2,400. Intelogos doesn't record screens on any plan, so there's nothing to add.
- Where Insightful offers more: on-premise deployment from 250 licenses, shift scheduling, payroll on the Combo Plan and workflow mapping. Intelogos plans don't include these.
For the feature-by-feature view, see Intelogos vs Insightful. Our side-by-side comparisons also put Insightful next to a time tracker that takes screenshots and an insider-risk platform, with Intelogos in both tables.
Why do teams switch from Insightful to Intelogos?
Teams switch for what Intelogos measures and how: activity analytics without screenshots, AI answers on a plan they can buy today, and one price per license, billed monthly or yearly. Intelogos is a workforce analytics platform that shows how work time is spent across apps and websites, without screenshots or keystroke logging, and lets managers ask questions about it in plain language.
Activity detail without screenshots
Insightful includes screenshots in Workforce Analytics and the Combo Plan and sells more of them, and screen recording, as add-ons. Intelogos doesn't take screenshots. Intelogos doesn't record what people type; it records only whether keyboard or mouse input happened. Its Chronicle lists every application and window a person used, with window titles, URLs, and total and active time, so managers can see what work happened without looking at anyone's screen.
AI you can use now
On the AI Intelligence plan, Ask AI answers questions about your team's work data in plain language, and AI Performance Summaries and AI Coaching Recommendations turn the data into reports for managers. Intelogos MCP connects the same data to other AI tools. Generate Insights AI reports are on every plan, with 5 a month on Analytics. Insightful's own assistant, InsightsAI, is in a private beta.
Seven KPIs instead of screenshots to review
Intelogos measures Workday, Availability, Activity, Engagement, Productivity, Contribution and an Overall Rating. You mark each tool as Primary, Secondary, Distracting or Neutral for everyone, then override it for each department, so Engagement and Productivity reflect each team's real work (importance categories).
A visible or a silent agent
Desktop agents run visibly on Windows, macOS and Linux, and people install them from an invitation email and can start and stop them. Background agents run on Windows and macOS with no visible interface, and IT deploys them with scripts or MDM and RMM tools (understanding agents).
Insightful remains the fit for teams that need screenshots as proof of work, shift scheduling, workflow mapping or an on-premise deployment. For everyone else whose question is how work time is spent, Intelogos is our pick.
Frequently Asked Questions
How much does Insightful cost per seat?
Insightful's pricing page lists Workforce Analytics at $8, Workflow Optimization at $12 and the Combo Plan at $16 per seat per month, billed annually, with Enterprise priced by quote (as of October 2026). Its help center lists month-to-month prices of $10, $15 and $20. Add-ons cost $0.50 to $4 per seat per month and apply to every seat.
Does Insightful have a free trial?
Yes. The trial lasts 7 days with access to every feature except automatic time mapping, no credit card and no limit on the number of employees. Tracking stops when the trial ends unless you subscribe (pricing page and help center, checked October 23, 2026). Intelogos also starts both paid plans with a free trial.
Does Insightful offer discounts?
Insightful's pricing page shows one: the Combo Plan saves 20% against buying Workforce Analytics and Workflow Optimization separately. Its help center says annual payment carries a 20% discount and that discounts may apply for multi-year commitments. Its 7-Day ROI Promise, for customers with at least 10 employees, offers 30 days of free service if the promised return isn't shown, not a refund.
Can you pay for Insightful monthly?
On some plans. The pricing page shows annual prices and says month-to-month billing is available on select plans, without naming them. Insightful's help center lists $10, $15 and $20 per seat per month for Workforce Analytics, Workflow Optimization and the Combo Plan. Intelogos lists monthly billing for both paid plans on its pricing page: $10 per license per month for Analytics and $15 for AI Intelligence.
How does Insightful count seats?
Insightful bills per tracked employee, however many devices that person uses, and doesn't charge for Admin, Manager or Client users unless it also tracks them. Devices that aren't merged into one employee count as separate seats, which Insightful's help center says happens most often on company-owned computers. Added employees are charged pro rata; removed ones earn a credit at renewal on annual plans.
Can you cancel Insightful and get a refund?
You can cancel from Settings, Billing, Subscriptions, Plans, but Insightful's Terms of Service make payments non-refundable, and cancelling an automatically renewing subscription mid-term doesn't refund fees already paid. To stop a renewal, give written notice at least 30 days before the term ends. Seat reductions on annual plans become a credit at renewal, not a refund.
Is Insightful cheaper than Intelogos?
No. At list prices they cost the same at the entry level: Insightful Workforce Analytics and Intelogos Analytics are both $8 billed annually and $10 monthly, or $4,800 a year for 50 seats. Insightful's Combo Plan costs $16 against $12 for Intelogos AI Intelligence, and Insightful's add-ons, such as screen recording at $4 per seat per month, raise its total further (as of October 2026).
Is there an Insightful alternative without screenshots?
Yes. Intelogos, our pick, never takes screenshots or records screens. It records which applications, websites and windows people use, for how long and how actively, and turns that into seven KPIs, the Chronicle timeline and AI reports, at the same $8 entry price as Insightful Workforce Analytics. For a full comparison, see Insightful alternatives.
Pricing Insightful? Intelogos costs from $8 per license per month billed yearly, with monthly billing on both paid plans and no screenshots on any plan. See the Intelogos pricing page or book a demo.
