Get AI-powered insights about your team's performance through natural language conversations.

Welcome to the Intelogos Ask AI feature! This guide will help you understand and effectively use the AI-powered conversational assistant to get insights about your team's performance, productivity, and work patterns.

Who Can Access Ask AI?

Ask AI is available only to:

  • Managers – Users with manager role privileges
  • Admins – Users with administrative privileges
  • Owners – The primary account owner who created the organization account

Regular users without elevated permissions will not see "Ask AI" in their navigation menu. If a regular user navigates directly to the Ask AI URL, they will see an "Access Restricted" message and be redirected to the Dashboard.

Overview

Ask AI is an interactive, conversational AI assistant that helps managers and admins gain insights about their team's performance. Instead of navigating through dashboards and reports, you can simply ask questions in natural language and receive detailed, data-driven answers.

The assistant uses your organization's tracked performance data to answer questions about:

  • Team performance – Who are the top performers? How is a specific department doing?
  • Workload and capacity – Which teams seem overworked? Do we need to hire more?
  • Productivity patterns – Is anyone spending too much time on non-work activities?
  • Time and engagement – How are work hours distributed? What are the engagement levels?
  • Comparative analysis – How does this week compare to last week?

Think of Ask AI as having a knowledgeable analyst available 24/7 to answer your management questions using real data.


Getting Started

  1. Click "Ask AI" in the left sidebar navigation to open the Ask AI page.
  2. You will see a welcome screen with a personalized greeting: "How can I help you, [Your Name]?"
  3. Below the greeting, rotating suggested questions appear to help you get started.
  4. Type your question in the input field or click one of the suggested questions.
  5. Press Enter or click the submit button to send your question.
  6. The AI will process your question and stream a response in real time.

Page Layout

The Ask AI page uses a full-width layout with no traditional page header (no date range picker or filters). The page is designed to focus entirely on the conversational experience.

Header Bar

Location on page: Top of the page, spanning the full width.

The header bar contains:

  • Sidebar toggle (left) – The hamburger/collapse icon to expand or collapse the left sidebar
  • Page title – Displays "Ask AI" as a breadcrumb

Sidebar Navigation

Location on page: Left side of the screen.

The standard Intelogos sidebar is available, providing quick navigation to all other pages (Dashboard, Profile, Team, Daily, Reports, Time off, Tools, etc.). The "Ask AI" item is highlighted when you are on this page.

The sidebar can be expanded or collapsed using the toggle button in the header bar.

Welcome Screen

Location on page: Center of the page (when no conversation has started).

The welcome screen is displayed when you first visit the Ask AI page or when there are no messages in the current session. It contains:

  1. Personalized greeting – A large heading: "How can I help you, [Your Name]?" using your first name from your account profile.

  2. Rotating suggested questions – Below the greeting, sample questions cycle automatically (approximately every 5 seconds) to inspire you with ideas of what to ask. These rotate through three suggestions:

    • "Who is the best performer in the team last week?"
    • "Does it seem like anyone is not spending time doing what they should be?"
    • "Which department seems to be overworked and we need to hire more?"

    You can click any visible suggestion to immediately send it as your question.

  3. Chat input field – A text input area where you can type your question. The placeholder text reads "What would you like to know?" to guide you.

  4. Submit button – A circular button to the right of the input field that sends your message.


Using the Chat

Typing a Question

Location on page: The input field is centered on the page before the first message, and moves to the bottom of the page once a conversation begins.

To ask a question:

  1. Click in the input field (it says "What would you like to know?" as placeholder text)
  2. Type your question in natural language
  3. The input field expands as you type longer messages (up to a maximum height)

You can ask about anything related to your team's performance data. The AI understands natural language, so you don't need to use specific keywords or formatting.

Example questions:

  • "Who are the top 5 performers this month?"
  • "Show me the engagement levels for the Engineering department"
  • "Is there anyone who might be at risk of burnout?"
  • "How has productivity changed over the last 30 days?"
  • "Which tools are taking up the most time?"
  • "Compare the Design team's performance to Engineering"

Suggested Questions

Location on page: Between the greeting heading and the input field, visible only on the welcome screen (before any messages are sent).

The suggested questions rotate automatically using a smooth fade-in/fade-out animation. Each suggestion is displayed as a quoted phrase in light gray text. The suggestions cycle every ~5 seconds through three pre-set questions.

How to use:

  • Simply click on any visible suggestion to send it as your question immediately
  • The suggestion is sent directly — it does not appear in the text input first
  • Suggestions are disabled while the AI is processing a response

Note: Suggested questions disappear once the conversation starts. They are only visible on the initial welcome screen.

Sending a Message

There are two ways to send a message:

  1. Press Enter – After typing your question, press the Enter key on your keyboard
  2. Click the submit button – Click the circular send button to the right of the input field

Submit button states:

  • Ready (black circle with arrow icon) – Click to send your message
  • Disabled (gray circle) – Shown when the input is empty or while a response is being generated
  • Streaming – Shown while the AI is actively generating a response

Important: You cannot send a new message while the AI is still responding to a previous one. Wait for the response to complete, or press Escape to cancel the current response.

Reading AI Responses

Location on page: The conversation area takes up the main body of the page, between the header and the input field.

Once you send a message, the page transitions from the centered welcome screen to a conversation view:

  1. Your message appears on the right side of the conversation in a blue bubble with your avatar.

  2. The AI's response appears on the left side in a gray bubble with a sparkles icon avatar.

Response stages:

  • Analyzing request – Animated dots appear next to the text, indicating thinking stages while the AI processes your question and prepares a response. This indicator remains visible until the first part of the response appears.
  • Streaming text – The AI's response appears progressively as it is generated. The AI may begin by acknowledging your question (e.g., "Reading your question carefully...") before providing the actual answer. You can read the response as it is being written.
  • Complete response – Once streaming finishes, the full response is displayed.

Response formatting: The AI's responses are rendered as rich formatted text (Markdown), which means they can include:

  • Bold and italic text
  • Bullet points and numbered lists
  • Tables with headers and rows
  • Code blocks
  • Headings and subheadings
  • Links

This formatting makes the responses easy to read and well-structured, especially for data-heavy answers.

Scroll behavior:

  • The conversation automatically scrolls to show the latest message
  • A scroll-to-bottom button appears if you scroll up in a long conversation — click it to jump back to the latest message

Continuing a Conversation

Ask AI maintains conversation context within your current session. This means:

  • Each follow-up question builds on the previous context
  • The AI remembers what you asked earlier in the conversation
  • You can ask clarifying questions like "Tell me more about that" or "What about last month?"
  • The conversation history is sent to the AI with each new message so it can provide contextually relevant answers

Note: The conversation history is maintained only for the current session. If you navigate away from the Ask AI page and come back, you will start a new conversation.


Integrations

GitHub Integration

Location on page: Below the chat input field on the welcome screen.

A GitHub button with a "+" icon is displayed below the input area. This integration allows you to connect your GitHub account to enrich the AI's insights with delivery data from your repositories (commits, pull requests, code reviews, etc.).

How to connect:

  1. Click the GitHub + button below the input field
  2. Follow the authentication flow to connect your GitHub account
  3. Once connected, the AI can incorporate code delivery metrics into its answers

What it adds: When GitHub is connected, the AI can answer questions about:

  • Code commit patterns and frequency
  • Pull request activity
  • Code review participation
  • Development velocity and delivery metrics

Jira Integration

Location on page: Next to the GitHub button, below the chat input field on the welcome screen.

A Jira button with a "+" icon is displayed alongside the GitHub button. This integration allows you to connect your Jira account to enrich the AI's insights with project management and delivery data.

How to connect:

  1. Click the Jira + button below the input field
  2. Follow the authentication flow to connect your Jira account
  3. Once connected, the AI can incorporate task and project data into its answers

What it adds: When Jira is connected, the AI can answer questions about:

  • Task completion rates
  • Sprint progress and velocity
  • Issue tracking and resolution times
  • Project delivery status

Note: Both integrations are optional. The AI can still answer questions about team performance using Intelogos tracking data without any integrations connected. The message "Connect GitHub or Jira to enrich AI insights with delivery data" indicates that these integrations are available to enhance the depth of insights.


Input and Attachments

Text Input

The chat input supports:

  • Multi-line messages – Press Shift+Enter to add a new line within your message
  • Auto-expanding – The input field grows taller as you type longer messages, up to a maximum height
  • Maximum length – Messages can be up to 5,000 characters long
  • Placeholder text – "What would you like to know?" is shown when the input is empty

File Attachments

The input area supports file attachments:

  • Drag and drop – Drag files from your computer directly onto the input area
  • Multiple files – You can attach more than one file at a time
  • Attached files appear as previews above the input text area
  • Each attachment can be removed by clicking its remove button

Input Validation

For security and quality, the input is validated before sending:

  • Empty messages are not allowed — the submit button is disabled when the input is empty
  • Maximum 5,000 characters — messages exceeding this limit will show a validation error
  • Security sanitization — HTML and potentially harmful content is automatically sanitized
  • Validation errors appear as a red banner below the input field, with a dismiss button (X)

Keyboard Shortcuts

Error Handling and Retry

Ask AI includes robust error handling to ensure a smooth experience:

Error Messages

If something goes wrong, an error message appears in the conversation as a red-bordered bubble on the left side (where AI responses appear). Error messages include:

  • A red alert icon
  • A description of what went wrong
  • A "Retry Request" button (for recoverable errors)

Common Error Types

Automatic Retry

For network-related errors (connection timeouts, lost connections), the system automatically retries the request up to 3 times before showing an error message to you. This happens silently in the background — you won't see error messages for temporary network glitches that resolve on their own.

Manual Retry

For non-network errors, a "Retry Request" button appears in the error message bubble. Clicking it:

  1. Removes the error message from the conversation
  2. Re-sends your original question
  3. Attempts to get a fresh response from the AI

Note: The "Retry Request" button is not shown for access denied (403) errors, since retrying would not resolve a permissions issue.


Best Practices

  1. Be specific in your questions. Instead of "How is the team?", try "How has the Engineering team's productivity changed over the last 2 weeks?" More specific questions lead to more useful answers.

  2. Ask one question at a time. While the AI can handle complex questions, breaking them into focused individual questions tends to produce better, more detailed responses.

  3. Use follow-up questions. Take advantage of conversation context. After getting an initial answer, ask "Can you break that down by department?" or "What about compared to last month?"

  4. Try the suggested questions first. If you're new to Ask AI, start with the rotating suggestions to see the kind of insights available.

  5. Connect integrations for richer insights. If your team uses GitHub or Jira, connecting these integrations gives the AI access to delivery data, making its answers more comprehensive.

  6. Don't include sensitive information. Avoid typing passwords, API keys, or other sensitive data in the chat input. The input is sanitized, but it's good practice.

  7. Use natural language. You don't need special syntax or commands. Ask questions the way you would ask a colleague.

  8. Review answers critically. The AI analyzes real data, but always apply your management judgment. Use AI insights as one input to your decisions, not the sole basis.


Troubleshooting

I don't see "Ask AI" in my navigation menu

Cause: Ask AI is only available to Managers, Admins, and Owners. It may also be disabled by your organization's configuration.

Solution:

  • Contact your organization's Admin or Account Owner to request elevated permissions if you need access.
  • If you are a Manager/Admin and still don't see it, the feature may be disabled for your environment. Contact Intelogos support.

I see "Access Restricted" when I open Ask AI

Cause: Your user role is set to "Regular User" and does not have permission to access Ask AI.

Solution: Ask your organization's Admin or Account Owner to upgrade your role to Manager or Admin if you need access to this feature.


The AI is not responding to my question

Possible causes & solutions:

  1. Network connection issue:

    • Check your internet connection
    • The system will automatically retry up to 3 times for network errors
    • If retries fail, click the "Retry Request" button that appears in the error message
  2. Server is temporarily unavailable:

    • Wait a few moments and try again
    • If the problem persists for more than a few minutes, contact Intelogos support
  3. Authentication expired:

    • Refresh the page
    • Log in again if prompted
    • Return to Ask AI and re-send your question

My message won't send (submit button is disabled)

Possible causes:

  1. Empty input – Make sure you have typed something in the input field
  2. AI is still responding – Wait for the current response to finish or press Escape to cancel it
  3. Validation error – Check for a red error banner below the input. Your message may exceed the 5,000-character limit or contain invalid content

The AI response seems incomplete or cuts off

Possible causes & solutions:

  1. Streaming interruption:

    • A network interruption may have stopped the response mid-stream
    • The system attempts automatic retries for network issues
    • If the response appears incomplete, try asking the same question again
  2. Page visibility change:

    • If you switched tabs or minimized the browser during streaming, the response may have been interrupted
    • Ask the question again to get a fresh response

I see "Thinking..." but no response appears

Cause: The AI is processing your question. Complex questions about large datasets may take longer to process.

Solution:

  • Wait a few more seconds — the "Thinking..." indicator will be replaced by the actual response
  • If it persists for more than 30 seconds, press Escape and try a simpler or more specific question
  • Check your internet connection

The conversation lost its context

Cause: Ask AI maintains conversation context within a single session. Context may be lost if:

  • You navigated away from the Ask AI page and returned
  • The page was refreshed
  • Your session expired and you re-authenticated

Solution: Re-state any important context in your new question. For example, instead of "What about Engineering?", ask the full question: "How is the Engineering department performing this month?"


Validation error appears below the input

Cause: The input validation detected an issue with your message.

Common validation errors:

  • Message too long – Your message exceeds the 5,000-character limit. Shorten it and try again.
  • Invalid content detected – The security sanitization flagged your message. Remove any HTML tags, scripts, or unusual characters.

Solution: Dismiss the error by clicking the X button on the red error banner, edit your message, and try sending again.
