Advanced Reports

Create and schedule advanced email reports.

Advanced email reports let you schedule recurring, detailed performance reports delivered directly to your inbox. Unlike dashboard summaries which provide a high-level overview, advanced reports give you per-user data with detailed metrics — ideal for monthly performance reviews or deep-dive analysis without having to remember to check the Reports page.

Who Can Access Advanced Email Reports?

Advanced email reports are available to anyone who can access the Reports page:

  • Managers – Reports are generated for all the users they manage
  • Admins – Organization-wide access
  • Owners – Organization-wide access

How to Schedule an Advanced Email Report

  1. Navigate to the Reports page from the left sidebar
  2. In the top-right corner of the report card header, click the mailbox icon (tooltip: "Schedule and adjust email reports")
  3. The Email report settings drawer opens from the right side

Step 1: Choose How Often

Select one or more frequencies for receiving the report:

  • Daily
  • Weekly
  • Monthly

Step 2: Choose What to Include

Select the data categories and metrics you want in the report. The available options are the same as in the Advanced Reports feature on the Reports page:

CategoryAvailable Metrics
KPIsOverall Rating, Availability, Activity, Engagement, Productivity, Contribution
TimeDay start, Day end, Work sessions, Idle sessions, Added sessions
Tool ImportanceTime in tools by importance (Work tools, Primary, Secondary, Distracting, Neutral) and Activity in tools by importance
Tool EngagementTime in tools by engagement (High, Medium, Low) and Activity in tools by engagement
Tool CategoriesTime in tools by category, Activity in tools by category

Click Save to activate the schedule.

What the Email Contains

Advanced email reports are generated for all the users you manage. Each email includes:

  1. KPI summary — An overview of key performance indicators across all your users
  2. Per-user data — For each individual user, the email displays:
    • Total time worked
    • Workday average
    • The first 3 metrics you selected in the report content settings

Everything beyond the first 3 selected metrics is accessible via a "See Full Report" link in the email, which opens the complete report on the Intelogos website with all the data you selected.

Important: The order in which you select metrics matters. The first 3 selections appear directly in the email body. All remaining selections are available only through the link to the full report.

Modifying or Canceling an Email Report

To change or cancel your scheduled email report:

  1. Navigate to the Reports page
  2. Click the mailbox icon in the actions bar (same button used to set it up)
  3. Adjust your frequency or content selections as needed
  4. Click Save to apply changes

The drawer also provides these options:

  • Reset — Clears all frequency and content selections (visible only when selections exist)
  • Cancel — Closes the drawer without saving changes

To stop receiving reports, click Reset to clear all selections, then Save.

Advanced Email Reports vs. Dashboard Summaries

Intelogos offers two types of scheduled email reports. Here is how they compare:

Advanced ReportsDashboard Summaries
Best forDeep-dive performance reviews with per-user detailQuick overview of team-wide performance
Access fromReports page actions bar (mailbox icon)Dashboard page header
ScopeAll users you manage (automatic)Filterable by department, project, or manager
ContentDetailed metrics per user (KPIs, time, tool importance, engagement, categories)Dashboard sections (KPIs, leaderboard, tools, engagement, time categories)
Email detailKPI summary + per-user total time, workday, and first 3 selected metricsSummary with top items per section
Full data accessVia "See Full Report" link for remaining metricsAll selected data included directly in email
FrequencyDaily, weekly, or monthlyDaily, weekly, or monthly

Use advanced reports when you want to regularly review individual performance in detail — for example, scheduling a monthly report to review each team member's metrics. Use Dashboard Summaries for a quick pulse check on overall team health.

Best Practices

  • Monthly frequency is often the best fit for advanced reports. They contain detailed per-user data that is most useful for periodic performance reviews rather than daily monitoring.
  • Prioritize your first 3 selections carefully. Since only the first 3 metrics appear in the email body, choose the ones most important for a quick scan. Use the full report link for deeper analysis.
  • Combine with Report Snapshots. If you use specific report configurations regularly, save them as Report Snapshots on the Reports page so you can quickly load them when following up on data from your email report.
  • Ensure tools are properly categorized. The accuracy of Tool Importance and Tool Engagement data depends on having your tools in the right categories. Review your Importance Categories setup.
  • Use alongside dashboard summaries. The two report types complement each other well. A weekly dashboard summary keeps you informed at a glance, while a monthly advanced report gives you the detail needed for one-on-one reviews.
