Receive automated dashboard summary reports via email.
Dashboard summaries let you schedule recurring emails that deliver a snapshot of your Dashboard metrics directly to your inbox. Instead of logging in to check on your team, you receive a brief summary of the information you currently see on the Dashboard — perfect for keeping a hand on the pulse of how your team is doing.
Who Can Access Dashboard Summaries?
Dashboard summaries are available to anyone who can access the Dashboard:
- Managers – Receive summaries for the users they manage
- Admins – Organization-wide access
- Owners – Organization-wide access
How to Schedule a Dashboard Summary
- Navigate to the Dashboard
- In the top-right corner of the page header, click the Schedule dashboard summaries button
- A configuration dialog will open where you can set up the summary
Step 1: Choose Who the Summary Is For
Use the filters at the top of the dialog to define the scope of the summary:
- Departments — Select one or more specific departments
- Projects — Select projects (if project tracking is enabled in your organization)
- Manager — Select the relevant manager
Step 2: Choose How Often
Select the frequency for receiving the summary email:
Step 3: Choose What to Include
Select which sections of the Dashboard you want to receive in your email summary:
| Section | What It Includes |
|---|
| Key Performance Indicators | The KPIs you currently have selected on your Dashboard. If you change which KPIs the Dashboard shows, the KPIs in the email will change as well. |
| Leaderboard | Up to 10 users from the leaders table. You can choose which leaderboard types to include: Users, Departments, Projects, and Managers. |
| Tool Importance | Up to 5 tools in each importance category: Primary, Secondary, Distracting, and Neutral. |
| Tool Engagement | Up to 5 tools in each engagement level: High, Medium, and Low. |
| Time Categories | Up to 5 of the top time categories your team is using (e.g., Development, Design, Communication). |
Click Save to activate the schedule.
What the Email Contains
The dashboard summary email mirrors the sections you selected during setup, with the following details:
- KPIs reflect whichever key performance indicators you have active on your Dashboard at the time the email is generated. Changing your Dashboard KPI selection will change what appears in future emails.
- Leaderboard includes up to 10 users per leaderboard type you selected.
- Tool Importance shows up to 5 tools per category (Primary, Secondary, Distracting, Neutral).
- Tool Engagement shows up to 5 tools per engagement level (High, Medium, Low).
- Time Categories shows up to 5 categories — the top categories by time spent. Categories represent the type of work tools are used for, such as Sales, Marketing, Design, or Development. Learn more in the Time Categories guide.
Modifying or Canceling a Summary
To change or cancel your scheduled dashboard summary:

- Click the Schedule dashboard summaries button in the page header (the same button you used to set it up)
- Adjust your frequency, filters, or content selections as needed
- Click Save to apply changes
To stop receiving summaries, deselect all frequency options and save.
Dashboard Summaries vs. Advanced Reports
Intelogos offers two types of scheduled email reports. Here is how they compare:
| Dashboard Summaries | Advanced Reports |
|---|
| Best for | Quick overview of team performance | Deep-dive analysis with detailed per-user data |
| Access from | Dashboard page header | Reports page actions bar |
| Scope | Filterable by department, project, or manager | Automatically includes all users you manage |
| Content | Dashboard sections (KPIs, leaderboard, tools, engagement, time categories) | Detailed metrics (KPIs, time data, tool importance, tool engagement, tool categories) per user |
| Detail level | Summary with top items per section | First 3 selected metrics in email; full report via link |
| Frequency | Daily, weekly, or monthly | Daily, weekly, or monthly |
Use dashboard summaries when you want a quick check-in on your team's overall performance. Use Advanced Reports when you need a detailed, per-user report for performance reviews or deep analysis.
Best Practices
- Weekly summaries are a good starting point for most managers — frequent enough to stay informed without email overload.
- Monthly summaries work well for executive stakeholders who want high-level oversight.
- Choose sections that matter most. You do not need to include every section. Select only the data points you will actually review.
- Keep your Dashboard KPIs up to date. Since the email reflects your current Dashboard KPI selection, make sure the KPIs you have active on the Dashboard are the ones you want to receive by email.
- Pair with tool categorization. The quality of Tool Importance and Tool Engagement data depends on having your tools properly categorized. Review your Importance Categories to ensure accurate data in your summaries.
